The HR and Payroll Data Coordinator is responsible for the effective management, security and integrity of HR and payroll systems, ensuring high‑quality workforce data and reporting are delivered accurately and on time across the College. The role provides timely and reliable HR and payroll reporting, including statutory returns and management information, to support decision‑making and compliance.
Key Responsibilities
* Provide all data requests for the College, ensuring accuracy, compliance and timely responses.
* Produce statistical analysis, reporting and interpretation for presentation to stakeholders, including HR and payroll‑related reporting where required.
* Act as a point of expertise on reporting and the data that underpins it, providing assurance on data quality, integrity and consistency across HR and payroll systems.
* Act as Champion for all HR and Payroll systems, delivering training to managers and staff as required and acting as the first point of contact for system‑related and data queries.
* Work with the Payroll Manager to ensure the effective integration of payroll and personal data, supporting data accuracy and alignment between HR and payroll systems.
* Support the Payroll Manager with accurate payroll administration, through the maintenance of high‑quality employee data, reconciliation checks and reporting.
* Work with HR staff on project work across the College, including system developments, data improvement initiatives and compliance‑related projects.
* Co‑ordinate responses to Subject Access Requests (SARs) and Freedom of Information (FOI) requests across the College, effectively monitoring deadlines and maintaining appropriate records.
* Act as the main support for the HR Director in their role as Data Protection Officer, particularly in relation to HR and payroll data, reporting and information governance.
* In liaison with HR Business Partners and HR Advisers, support the maintenance of the HR intranet page, ensuring content relating to HR systems, data and processes is accurate and up to date.
* Identify and implement ongoing process improvements and best practices to enhance the effective use of HR and payroll systems.
* Provide advice and assistance to all members of the HR department on the secure storage, handling and management of HR and payroll information in line with data protection requirements.
* Provide payroll and data system support, including:
o Input and validation of family leave information onto the payroll system.
o Supporting payroll system imports and data checks.
o Assisting with the processing of leavers, including the distribution of P45s.
o Supporting statutory and regulatory reporting.
o Supporting pension administration from a data and systems perspective.

Skills, Knowledge and Expertise
Essential Criteria
* Educated to degree level or equivalent experience within a HR or Payroll function.
* Excellent computer literacy – strong ability in Excel and current IT programmes.
* Ability to work with large and complex datasets to produce accurate outputs.
* Experience and knowledge of delivering results and service improvements.
* Ability to work as part of a team, sharing ideas and information, for business improvement.
* Ability to produce detailed reports and analysis of trends to support decision‑making.
* Strong organisational skills and experience of managing processes and liaising with staff and managers at all levels.
* Experience of ensuring that information and records are stored securely for retrieval in the event of an inspection or audit.
* Commitment to continuous development.
* Understanding of and commitment to equality, diversity, and inclusion.
* Ability to organise and prioritise workloads to delivery within tight timescales.
Desirable Criteria
* Experience of implementing and/or developing systems.
* Experience of delivering system‑based training.
