Clinical Team Administrator

We are looking to expand our team of well organised clinical team secretary/administrators to provide an efficient support service to the Adult Learning Disabilities team based across two sites (Centre of Independent Living, Hartlepool and Wessex House, Stockton). The successful candidate will be expected to travel to either of our bases in cases where cover is needed for leave, and for team meetings. Attendance in base is required; remote working would not be suitable for this role.
You must have the Right to Work in the UK. Please note this role does not meet the required eligibility criteria for sponsorship under the Skilled Worker visa; the Trust is unable to offer sponsorship for this role.
Main Duties of the Job
Applicants should demonstrate excellent communication and organisation skills, an understanding of administrative/clerical procedures, and experience working in a busy office environment.
Applicants should be self‑motivated, organised, flexible, able to work as part of a team, take ownership of their workload, perform repetitive tasks with attention to detail, prioritise tasks, and handle sensitive issues while maintaining confidentiality.
Excellent communication skills, both verbal and written, coupled with proven secretarial skills and previous experience are essential.
Job Responsibilities

Qualifications
* Level 3 Qualification in a relevant field or equivalent experience or willingness to work towards Level 3 in Business Administration.
* Key functional skills in literacy and numeracy Level 2 or O Level (Grade C and above/New GCSE in Maths and English Grade 4 to 9) are essential for full competence.
* Level 3 in Business Administration.
* RSA Level 2 or equivalent Secretarial/administrative experience in a clinical environment.
Experience
* Experience of working in an administrative environment (diary management, filing systems, meeting coordination, minute taking, data input, collating and presenting information).
* Customer Service experience (face‑to‑face, answering calls, correspondence).
* Experience of organising and completing demands and workloads.
* Experience of setting up and maintaining administrative systems and processes.
* Experience of working autonomously and proactively.
* Experience of supporting/supervising staff.
* Experience of handling monies and working within financial guidelines.
Knowledge
* Comprehensive knowledge of Microsoft Office applications.
* Understanding of data protection and the importance of confidentiality.
* Knowledge of office systems and processes.
* Knowledge of NHS systems.
