Petroineos Grangemouth We are looking to recruit a highly motivated Administrator with excellent communication skills, to join the Services Team at our Grangemouth site on a temporary / 37.5 hours per week basis. The successful candidate will provide a comprehensive administrative support role to Refinery Management Team and circa 70 staff located in the Grangemouth Business Centre (GBC). Key Responsibilities:
1. Administrator for the site `MOC' (Management of Change) Register which is used to record all pesonnnel and organisational changes.
2. Produce MOC report for Management Team as and when required.
3. Carry out checks in meeting rooms to ensure rooms are safe, neat and tidy enough for use. Replenish leaflets, notices and meeting room consumables as necessary.
4. Report GBC building maintenance issues / requirements to Facilities Management Team.
5. Manage stock of safety equipment (PPE) for visitors going out on site with Refinery Management Team / other people departments located in the GBC Building.
6. Ensure stationery equipment and materials are available to GBC building by managing and ordering required items.
7. Office Machinery / Equipment (e.g. copiers, etc.) - ensure any faults are reported via the appropriate channels and consumables ordered and replaced as necessary.
8. Provide administrative support to staff within the building.
9. Produce relevant documents, presentations, spreadsheets, etc. that are finished to a high standard and adhere to company branding guidelines.
10. Point of contact for invoicing and receipting payments ensuring audit trail.
11. Manage verbal and written communication for both internal and external people ensuring all queries are dealt with effectively.
Qualifications, Knowledge & Skills:
12. HNC or VQ in administration at level 3.
13. Highly organised with strong attention to detail.
14. Time Management Skills. Ability to prioritise own workload.
15. Data Management - competent in managing confidential information ensuring integrity of the systems and appropriate retention mechanisms are in place.
16. Strong IT skills, including all Microsoft Office applications to an intermediate level.
17. Ability to communicate at all levels within the organisation.
The RPH for this role is up to £15 dependent on experience.
