Responsibilities
* Full range of PA and administrative duties including agenda preparation, minute taking, arranging and coordinating meetings, training events, SLT off‑site meetings, and the annual Apprentice award dinner (working within a budget and negotiating rates).
* Host Quarterly Employee Staff Briefings, coordinate slide‑deck inputs and manage communications online and onsite.
* Assist with the preparation of PowerPoint presentations for strategic planning and staff presentations.
* Check and respond to emails in a timely fashion for the VP/GM when off site.
* Comprehensive travel arrangements for the VP/GM and SLT (flights, hotel, local taxis, visas).
* Diary management for the VP/GM.
* Ensure facilities are maintained (printers, stationery, etc.).
* Generate weekly and monthly reports and meet all deadlines.
* Maintain the VP/GM Outlook calendar, including senior leadership holidays and periods of out‑of‑office.
* Prepare and balance expenses using Concur for the VP/GM’s company credit card.
* Maintain action lists: monitor responses and issue follow‑ups on behalf of the VP/GM.
* Screen calls and correspondence.
* Set up conference calls and Teams meetings.
* Provide administrative support for the VP/GM and SLT via Workday.
* Support international visitors: process proxy‑click entry, prepare agendas, order catering, book conference rooms, and ensure all documents and presentations are complete.
* Update and maintain the Red Box.
Qualifications
* Previous senior Executive Assistant experience in a similar high‑level role.
* Excellent interpersonal skills with the ability to communicate confidently and persuasively with a wide variety of internal and external stakeholders, including senior leadership.
* Highly organized, able to work under pressure and use initiative to meet strict deadlines.
* Strong ability to work closely with the VP/GM, understand objectives and ways of working, and provide informed support across a wide range of activities.
* Professional attitude and integrity when handling confidential information.
* Highly self‑motivated and able to work with minimal supervision.
* Excellent typing skills.
* Comprehensive working knowledge of Microsoft Office (Word, Excel, PowerPoint), Concur, Workday, SharePoint, Outlook, and other relevant applications.
