We are looking for an enthusiastic and organised Business Support Assistant (BSA) who will provide administrative support to the Marketing, Communications and Digital teams. As BSA, you will be responsible for performing a range of administrative functions requiring confidentiality, initiative and sound decision-making. The ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient is essential. You should demonstrate experience in handling administrative support tasks with minimal supervision.
The successful applicant shall be based in either our London, Derby or Birmingham offices.
Essential duties and responsibilities:
* Managing travel arrangements, including complex international travel, visas, rail, car hire and hotels for the MarComms and Digital SLT.
* Booking desk space in various offices, car parking.
* Supporting the compliance of business processes (e.g., timesheets, mandatory training).
* Organising meetings, workshops including booking refreshments and lunches.
* Producing relevant supporting documentation for meetings and workshops.
* Supporting the organisation of internal and external webinars/conferences.
* Invoice and purchase order administration.
* Managing filing systems and document control.
* Occasional report running.
* Supporting supplier setup and invoice coding.
* Monthly updates and chasing of annual leave trackers.
* Tracking and coordinating tasks for team members’ new joiners/leavers.
* General administration duties, such as merchandise ordering, event logistics, group travel and hotel bookings, and managing distribution lists.
Requirements:
* Experience working with global teams.
* Proactive with excellent attention to detail and ability to produce quality documentation.
* Ability to work well under pressure and prioritise multiple tasks.
* Professional and confident manner.
* Trustworthy in maintaining confidentiality.
* Organised and efficient.
* Excellent communication skills (oral and written) at all organisational levels, including liaising with senior personnel.
* Flexible, approachable, and willing to assist with all tasks, stepping away from routine when needed.
* Positive, proactive approach.
* Proficient in Microsoft Suite (Outlook, Excel, Word, PowerPoint, SharePoint, MS Teams).
* Good time management skills and ability to meet deadlines.
* Relevant experience in a similar role.
* Hybrid working with a minimum of three days in the office.
