We are seeking a highly organised, proactive, and positive Administrator to join our busy hospital unit. This is a varied and rewarding role supporting the Unit Manager and ensuring the smooth and efficient running of all administrative functions within the service.
The successful candidate will play a key role in coordinating administration processes, supervising reception and transport staff, maintaining accurate records, and delivering a high standard of support across the unit.
The role will be 9-5, Monday to Friday
Responsibilities
4. Assisting the management team with preparing and typing correspondence, reports, policies, and other documentation
5. Handling telephone enquiries from internal and external contacts professionally and efficiently
6. Liaising with external organisations as required
7. Maintaining staff records including sickness, holidays, contact details, and organisational charts
8. Supervising Receptionists and Drivers
9. Managing filing systems and databases using IT systems and Microsoft Office applications
10. Ensuring compliance with Data Protection requirements
11. Coordinating and prioritising workloads within the administration team
12. Processing Purchase Orders and managing invoices in line with company procedures
13. Reconciling clients’ monies weekly and conducting petty cash audits
14. Logging petty cash expenditure daily
15. Preparing monthly driver rotas and coordinating transport arrangements for clients
16. Making occasional travel and accommodation arrangements
17. Providing reception cover when required

The ideal candidate will have:
27. At least 2 years’ supervisory or administrative experience, ideally within a healthcare environment
28. Excellent organisational and time-management skills
29. Strong communication and interpersonal abilities
30. A positive, flexible, and professional approach
31. Good working knowledge of Microsoft Office
32. The ability to prioritise workloads and meet deadlines in a busy environment
33. Experience handling confidential information appropriately
