Overview
The Health, Safety & Fire Team requires an administrative assistant to support daily operations, maintain accurate records, assist with training administration, and contribute to staff safety and incident management processes.
Responsibilities
* Serve as the primary point of contact and manage reception duties at the Health & Safety Training Centre, including opening/closing the building, reporting defects to Estates, performing daily fire checks, ordering stationery, and setting up meeting rooms.
* Review incident reports in the Datix Incident Reporting database, attach relevant documents, generate reports, provide statistics, and send letters to injured persons as part of the incident management process.
* Support trainers by recording training activity in the ESR system, booking rooms, coordinating nominations, contacting trainees, notifying managers of non‑attendance, liaising with departments for specific training sessions, and maintaining training records.
* Generate and run training reports for directorates, departments, or staff groups to support compliance statistics.
* Assist with staff safety alerts (Violent Warning Markers) by updating WPAS, WCP, and FACE, maintaining safety‑alert databases, and preparing information for monthly review meetings with the Personal Safety Advisor and Case Manager.
* Act as a key holder and manage the day‑to‑day running of the Health & Safety Training Centre.
* Use organisational systems such as ESR and Datix confidently and coordinate effectively with advisors and trainers to meet deadlines and compliance requirements.
