The role of Producer, Special Projects & Events will predominantly support key clients across the fashion, lifestyle, and beauty divisions at Karla Otto London – both UK based and international, coordinating multiple events, experiences and special projects in the UK market.
Creatively leading on concept development, through to end-to-end project management and execution. The role is client facing and requires excellent account management skills, and strong client relations, as well as working holistically across multiple divisions at Karla Otto on 360 projects. The successful candidate will be an enthusiastic, self-motivated individual, who is able to work both independently and as part of a team.
Responsibilities include, but are not limited to;
* Creative development to meet client objectives – responding to briefs, and as part of wider on-going brand strategies.
* End-to-end project management includes creative concept, project and design development, client liaison, budget management, scheduling, talent management, negotiating and overseeing suppliers, internal management (across client teams, finance, legal etc.), on-site management, post-event reporting.
* Cultivating and maintaining excellent relationships with clients, suppliers, vendors, and creatives.
* Managing all third-party vendors from briefings, agreements, through to final event stages.
* Liaising with internal teams to ensure that all roles and responsibilities are clearly defined; and that all aspects of each event are appropriately managed.
* Developing, communicating, and maintaining timelines and deliverables for pre-production through to event wrap up. Producing and managing detailed production documentation e.g., project timeline, call sheets, photographer/videographer briefs, production books, H&S, post event reporting etc.
* Handling client queries and troubleshooting throughout the project on the day to ensure all runs smoothly.
* Precisely planning and managing the budget associated with each project / event.
* Maintaining awareness of industry trends and any challenges to the commercial ambitions of clients, thinking more broadly about the cultural environment, creating relationships between clients and cultural opportunities.
* Maintaining an up-to-date database of new openings in and around London – venues, restaurants, locations, talent etc
Key Attributes
* Minimum 3-4 years of experience in a production & events management role
* Displays leadership qualities and ability to effectively delegate where appropriate, mentor and motivate junior team
* Ability to take ownership of projects without supervision
* Extremely well-organized, excellent planning, methodical, and efficient, with good common sense and initiative
* Accomplishes tasks accurately and thoroughly with strong follow-up skills
* Discreet, professional, and articulate, with excellent communication skills
* Ability to multitask and manage several projects and events, with numerous briefs, simultaneously
* Work well under pressure to meet deadlines
* Ability to be flexible in approach
* Creative mindset, including strong presentation, design, research, and writing skills.
* Experienced user Outlook, Excel, PowerPoint, Photoshop, InDesign or Illustrator, Key note (Mac users) etc.
* A solid understanding of the fashion & creative industry, as well as events landscape.
* Strong portfolio / experience in well executed events for high profile brands
* Eligible to work in the UK
