Were a UK-based Virtual Assistant agency supporting busy founders across two businesses. Were looking for a proactive, detail-focused Virtual Assistant to manage calendars, book appointments (including doctors), organize travel, handle inboxes, and keep daily operations running smoothly.
What Youll Do:
1. Manage business & personal calendars: schedule, reschedule, prevent clashes, and prepare daily agendas
2. Book and organize appointments & travel: doctors, restaurants, flights, hotels, transport, and simple itineraries
3. Inbox management: draft/reply emails, follow-ups, organize folders/labels, and maintain inbox zero
4. Track tasks, renewals, and deadlines to ensure nothing is missed
5. Light admin: file organization, simple spreadsheets/trackers, contact lists
6. Professional communication: liaise with clients, suppliers, venues, and service providers
Requirements:
7. Based in the Philippines
8. Minimum 3+ years experience as a VA, Executive, or Personal Assistant
9. Excellent English (written & spoken) with confident phone manner
10. Experienced in multi-calendar management & travel coordination, time-zone savvy
11. Familiarity with Google Workspace / Microsoft 365, Calendly, Zoom/Meet, Slack, Asana/Trello
12. Travel tools experience: Google Flights, Skyscanner, Booking.com, Airbnb, Trainline, Uber/Bolt
13. Reliable setup: 25+ Mbps internet + backup, modern laptop, quiet workspace, headset
14. Comfortable using Hubstaff for time tracking
15. Discreet, GDPR-aware, able to sign NDA

17. Hospitality or lifestyle industry experience
18. Basic spreadsheet reporting (availability, bookings, reimbursements)
