Think Family Safeguarding Administrator

The closing date is 10 November 2025

An exciting opportunity has arisen within the Think Family Safeguarding Service (TFSS) for an administrator (full‑time – 37.5 hours per week). We are looking for a highly skilled administrator who will provide effective and confidential support across the TFSS and work alongside other team members.

The post holder will be based at Claire House, Lower Ince Health Centre, primarily supporting the Children in Care Team within the TFSS, but will also support all elements of the service as directed by the Line Manager and work‑stream priorities.

Main duties of the job

* Oversee day‑to‑day management of the TFSS administrator role and support the effective and responsive running of the Children in Care office.
* Prioritise and organise day‑to‑day workloads, maintaining confidentiality throughout.
* Implement and maintain coherent systems and databases to facilitate safeguarding and child‑in‑care processes using Word, Excel and Access.
* Liaise with staff within and outside the organization, including professionals responsible for children in care.
* Distribute information to a wide range of recipients in a confidential and discreet manner.

Job responsibilities

* Support the TFSS Practitioners and other team members by providing efficient, confidential administrative services.
* Manage and maintain coherent systems and databases for safeguarding processes using Word, Excel and patient data systems.
* Communicate and distribute information to staff and external professionals in a professional and confidential manner.


Person Specification


Qualifications

* GCSE/CSE/O'Level Standard Grade 4/C or equivalent.
* Knowledge of administrative systems, patient information systems, office procedures and data input procedures.
* IT Qualification.


Experience

* Experience working in an office environment.
* Experience working to deadlines.
* Experience with electronic patient data systems.
* Knowledge of a health care environment is an advantage.


Skills & Knowledge

* Effective communication using a variety of methods.
* Understanding of NHS responsibilities regarding the management of confidential information.
* Self‑organisation and initiative.
* Competent in Microsoft Office, Outlook and diary management.
* Good working knowledge of effective office systems, robust filing systems and diary management.
* Ability to think widely, analyse problems and develop solutions.


Additional

* Ability to work effectively both alone and as part of a team to deliver high standards.
* Flexible working to meet service needs.
* Ability to work across several sites within the Wigan area.
* Speak English to an appropriate standard: confidence, accuracy, correct sentence structure and vocabulary.
