Event Operations Coordinator

Private Equity Insights

Location: London, England - Near Victoria (On-site, Monday to Friday)

MUST HAVE UK WORK PERMIT. NOT A REMOTE ROLE.

We organize a series of 12 global private equity events every year, bringing together 3,000+ GPs and 2,000+ LPs. We are part of United Media, building large-scale industry media and conference products in sectors such as insurance, finance, retail, etc.

Your Responsibilities

* Supplier Research and Management
o Source, compare, and find the best suppliers for event needs.
o Conduct thorough research to identify potential suppliers for add‑ons, branding materials and other event requirements.
o Negotiate contracts and terms to ensure cost‑effectiveness and high‑quality services.
o Maintain positive relationships with suppliers, addressing any issues or concerns.
o Review and manage the budget to ensure all changes are raised ahead of time.
* Event Planning
o Plan sponsored VIP events, lunches, dinners and after‑hours activities.
o Coordinate with venue staff to ensure all logistical details are in place.Provide on‑site support during events to ensure smooth operations.
* Internal Team Support
o Track and consolidate internal team queries.
o Maintain inventory tracking and regularly update event inventory sheets.
o Monitor Notion updates and ensure accurate reflection on the sponsor portal.
o Quality‑check design aspects such as banners, signage, brochures and other promotional materials.


Requirements

* Bachelor’s degree in Business Administration, Event Management, Marketing or a related field.
* Experience or knowledge in event planning, client management or supplier research.
* Strong organisational, multitasking abilities and attention to detail.
* Excellent communication, interpersonal and negotiation skills.
* Experience with graphic design software such as Photoshop, InDesign and Illustrator is highly recommended.
* UK work permit (no visa sponsorship).
