We are looking for someone to join our excellent reception team who all work very hard at being the first point of contact for the majority of patients. The role is demanding, and sometimes difficult, but overall rewarding. The whole Practice Team are friendly and we look forward to welcoming a new member of staff.
Main duties of the job
This is a part-time post. To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.
To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.
About us
We have a wide ranging clinical team including GP Partners, salaried GPs, Nurse Practitioners, Practice Nurses, a paramedic and HCAs. We then have our reception team, medical secretaries and admin team. We also have an in-house dispensary with it's own team of staff. Along with the usual general practice services we are the local MIU.
We are a large team but get on well and there is no feeling of hierarchy at all, the GPs are human too :-)
We get lots of compliments from our patients about being the best practice they've ever been at which is heartening as we all work hard to give the best service we can.
Job responsibilities
Thefollowing are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
* a.Maintainand monitor the practice appointment system
* b.Processpersonal, telephone and e-requests for appointments
* c.Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately
* d.Signpostpatients to the correct service
* e.Initiatingcontact with and responding to, requests from patients, team members andexternal agencies
* f.Clinicallycode data on SystmOne
* g.Photocopydocumentation as required
* h.Dataentry of new and temporary registrations and relevant patient information asrequired
* i.Inputdata into patients healthcare records as necessary
* j.Manageall queries as necessary in an efficient manner
* k.Maintaina clean, tidy, effective working area at all times
* l.Monitorand maintain the reception area and notice boards
* m.Supportall clinical staff with general tasks as requested
* o.Actionincoming emails and correspondence as necessary
* p.Completeopening and closing procedures in accordance with the duty rota
* q.Produce,maintain and participate in the receptionist rota for lunch and out of hourscover
Person Specification
Qualifications
* Educated to GCSE level or equivalent
* GCSE Mathematics and English (C or above)
* NVQ Level 2 in Health and Social Care
Experience
* Experience of working with the general public
* Experience of administrative duties
* Experience of working in a healthcare setting
* Good P.C. Skills
* Ability to handle queries effectively and sensitively
* Good telephone manner
* Ability to work well under pressure
* Ability to use own initiative
