Based in a GP Practice, the Digital and transformation lead role has been developed to support Oakmeadow delivering high quality care to patients and to support our administration and reception team using SystmOne and other third-party software.
Your duties may be modified from time to time to suit the needs of the business. In order for the Practice to operate effectively, you are expected to be flexible in your approach to work and to undertake different tasks consistent with your ability and training when required.
Main duties of the job
This is an exciting opportunity for the right candidate to join our practice team in an operational role which involves varied administrative duties and contact with patients face-to-face and on the telephone. They will lead the practice in developing the use of Information Technology to enable us to make the most of the SystmOne clinical system and to use technology and data to improve patient care and increase efficiency. This opportunity is open to full-time or part-time hours; however, flexibility is essential.

Job responsibilities
a. Provide a local support service to all staff, resolving issues with computer-based systems and equipment and training all staff in practice IT systems to ensure competence in their own particular fields of usage.
b. Reviewing and updating clinical templates ensuring they relate to current practice.
c. Monitor group mailboxes, ensuring information is disseminated appropriately.
d. Supporting the overall practice clinical governance framework, running reports for OQF, enhanced services and other reporting requirements.
e. Ensure the effective use of ERS, EPS and other IT programmes.
f. Support the management team in the compilation of practice reports.
g. Assist with QOF and enhanced services by ensuring registers are correct and checking coding and reviewing prevalence and managing specific areas.
h. System access management for existing staff and new starters, email, smart cards, system access. Including the removal of access to leavers.
i. Plan and co-ordinate the induction and timetables of medical students and registrars.
j.Plan and co-ordinate clinical and admin rotas, whilst also ensuring adequate cover during periods of staff sickness or leave.
k. Participate in the practices medical research projects in partnership with the Pharmacy team.
l. Make sure the practice website and social media sites are kept up to date and interesting.
m. Maintain all practice IT systems, including SystmOne, AccuRx, digital displays in reception and the telephone system, and liaise with Leicestershire HIS or other relevant suppliers when necessary.
n. Provide initial training to new starters on computer systems, including registrars and medical students.
o. Ensure the practice is compliant with all aspects of Information Governance and Data Protection, inclusive of populating the Information Governance Toolkit.
p. Promote the use of online systems, including the NHS App, to enable patients to access appointments, prescriptions, records, etc and deal with any patient queries related to online access.
q. Lead on any changes of IT systems or innovative use of new and upcoming technologies and the decommissioning of old systems.
r. Additional administrative tasks as required by the management team which may be added to this role as the needs of the practice change over time.
s. Provide cover for the wider administration team in events of absence.
t. Generate and carry out searches as required by the organisation to enable reports to be produced and action plans to be devised such as recall processes for patient care.
