We are looking for an organised and proactive
Global Meeting Administrator
to support the Global Partnership Meeting in Nairobi in September 2026, covering the planning phases, onsite delivery of the event in Nairobi and post meeting debrief.
How you will do this:
* Managing communications: Stay on top of a busy inbox, respond to event enquiries, and act as the first point of contact for partners and attendees.
* Handling logistics: Support with travel and accommodation arrangements, including flights, visas, and expenses; liaise with vendors (venues, hotels, caterers, etc.); and provide Help Desk support during the event.
* Tracking and admin: Maintain attendee lists and registration records, manage spreadsheets and tracking tools, support with simple invoice queries, and monitor upcoming deadlines.
* Event coordination: Help organise event volunteers, assist with itinerary and programme planning, support AV needs (e.g. presentations), and manage Health & Safety paperwork.
* Comms and content support: Help gather content for printed materials, coordinate with designers and printers, and support on branding and VIP invites.
* Team support: Work closely with the wider project team and BirdLife staff, including arranging and supporting internal meetings.
What we are looking for:
* Strong general education and solid experience in a similar admin or coordination role
* Great organisational skills – able to juggle tasks, stay on top of details, and keep things running smoothly
* A proactive and systematic approach – someone who thinks ahead and spots potential issues before they arise
* Confident working independently and under pressure, with minimal supervision
* Comfortable interacting with senior staff and building positive working relationships across all levels
* Clear, concise communication – both written and verbal
* Tactful, diplomatic and people-focused – able to work well with a diverse group of colleagues and partners
* Excellent IT skills – confident using Microsoft Office (Outlook, Word, Excel, PowerPoint), databases and online tools
* Confident using AV equipment and able to provide basic tech support for remote meetings
* Able to communicate clearly with people whose first language isn't English
Please note that this role will require the post holder to travel to Nairobi for 2-3 weeks during September 2026.

* Experience working in international or multi-site organisations
* Experience with minute taking and fast, accurate typing
