As a Prosecutions Administration Clerk, you will carry out the administrative tasks and processes related to Penalty Fare Notices, Unpaid Fares Notices and Prosecution Reports.
Reporting to the Prosecution and Fraud Manager, this post holder will act as prosecution admin processor for SWR fare evasion cases They will ensure that the balance revenue generation with ensuring the reputation of SWR for all cases, whilst working in line with the Revenue Protection strategy.
Your main responsibilities will be:
1. Ensure your personal safety and that of others at all times
2. Ensure the prosecutions office is kept clean, tidy and hazard free ensuring that working environment complies with all aspects of the current Health and Safety at Work Act.
3. Answer telephone calls promptly during normal office hours.
4. Action MG11's, Penalty fares, unpaid fares notices as directed by the Prosecutions and Fraud Manager or nominated deputy.
5. Action all appropriate all incoming correspondence and payments on a daily basis.
6. Maintain database records/electronic forms/letters and court paperwork ensuring all entries are accurate and timely.
7. Produce letters and court packs as directed by the Prosecutions and Fraud Manager or nominated deputy.
8. Action MG11's, Penalty fares, unpaid fares notices and section 9 witness statements ensuring they are collated/stored and recorded/stored in line with GDPR and enables a smooth-running of the office environment.
9. Ensure customer queries are replied to in a timely, sensitive manner to maintain the reputation of SWR
10. Ensure all monies, cheque and credit card payments are taken and accounted for appropriately and in line with the SWR cash regulations
11. Open and close Prosecutions Office and systems in accordance with agreed hours as directed by the Prosecutions and Fraud Manager or nominated deputy.
12. Liaise with courts when required.
13. Escalate any unresolved cases to a Prosecutions Case Officer for further enquiry.
14. Undertake specific tasks as directed by the Prosecutions and Fraud Manager or nominated deputy.
15. Have an understanding of the relevant pieces of criminal legislation, with a particular focus on:
16. The Railways (penalty fare) Act 2018 (amended 2022)
17. The Regulation of the Railways Act 1889
18. The Railway Bylaws
19. Have a thorough understanding of ticketing, restrictions, and validities, as well as those of supporting documents.
20. Understand retailing, keep up to date with Retail issues and attend relevant courses as appropriate, with a specific focus on new products.
21. Be conversant with relevant company standards and policies, ensuring compliance with revenue protection guidelines, cash regulations and personal safety guidelines.
As a minimum, you will need to have:
22. Excellent communication skills both written and verbal
23. Be resilient and able to cope in a pressured environment
24. Be confident in using modern technology
About the location
Overline House is conveniently situated overlooking Southampton Central Station and is easily accessible by public transport. The station is very local to West Quay, a hub for retailers and restaurants, and provides an excellent link between London, Coastal areas and the Isle of Wight.
Working pattern
Working an average of 37 hours per week over 5 days
Monday to Friday, earliest start time 0800, latest finish time 1800.
Weekend working possible, depending on workload and at the request of manager.
