Lady Margaret Hall – a vibrant constituent college of the University of Oxford – is looking for two Events Managers to join the College’s enthusiastic and hard-working Conference team.
Key Responsibilities
* Planning and implementing commercial events, as well as certain agreed high-profile internal events, to meet agreed annual targets, and ensuring that events are safe and meet or exceed customer expectations.
* Booking and managing events with respect for the pattern of College life and optimising the use of College resources.
* Establishing and maintaining strong relationships with customers, working closely with them throughout the event planning process to understand their needs, to ensure a positive and memorable experience.
* Liaising with other teams within LMH to ensure that they are accurately and thoroughly briefed on delivery requirements and able to implement the event.
* Ensuring that all Conference deliverables such as signage, room preparation and AV requirements are delivered to the agreed standards.
* Managing event charges and delivery costs to ensure that the event meets profitability targets.
* Creating event documentation to maintain a clear record of the event status, including ensuring that the KX bookings software is up to date and accurate at all times.
* Producing and administering contracts and invoices, keeping track of event charges and profitability, and working with the Accounts Department to maintain accurate records.

* Efficient and well‑organised, with a good work rate and the ability to manage time effectively.
* Conscientious and accurate, with an eye for detail and the visual presentation of communication materials.
* Adaptable and flexible, comfortable working under pressure, responding to change, and collaborating with other College functions for seamless event execution.
* Excellent English literacy and verbal skills, able to communicate effectively with a wide range of people, both verbally and in writing.
* Numerate with the ability to interpret event requirements and translate them into accurate quotes and contracts, demonstrating knowledge of standard event contract terms and conditions.
* Able to coordinate the various aspects of events, including customer management, scheduling, bookings and logistics.
* Experienced at managing different event formats and styles with an understanding of event planning principles and best practices.
* Good IT and keyboard skills, including a strong working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook, with the ability to confidently use spreadsheets for tasks such as data entry and calculations.
