Discretionary Bonus Job Description: To provide administrative support to the surveying team and wider business to ensure an excellent service is provided to clients, processes are carried out efficiently and effectively and opportunities to develop the business are maximised. To support with the administration of projects, tenders and frameworks as required to meet client expectations. To assist the business with continuous improvement including supporting with the maintenance of the ISO 9001: 2015 Quality System and audit process. Key Responsibilities: Working with the administration team to assist with answering calls, responding to enquiries, producing documentation (proposals and reports) and resolving queries. CRM management (creating opportunities and projects) and raising invoices. Updating data in the CRM system to ensure accuracy and compliance and following up where necessary with surveyors and clients for missing information required to complete projects. Managing project specific emails and tracking progress to ensure clients are responded to in an accurate and timely manner and issues are escalated and resolved as necessary. Scheduling inspections and diary management for the surveying team and managing travel arrangements as required. Proactive administrative support to assist with business development (eg. following up on quotations, quoting for reoccurring requirements in advance). Assist with the creation and review of data to report key information to the senior management team to help them with decision making. Identify areas in which efficiency can be improved and assist with revising processes to make improvements. Provide administrative support to the QA director and QA consultant to ensure the ISO 9001: 2015 quality system is effectively maintained and compliance is monitored. Administrative support for key projects, tenders and frameworks to ensure customer satisfaction and compliance with KPI’s and SLA’s. Qualifications and Skills: Essential: Administrative experience Excellent attention to detail and good literacy skills Customer focused Proactive and supportive approach Well-developed interpersonal and communication skills Ability to work on own initiative as well as part of a team Organised approach - able to multi-task, prioritise workload and work to tight deadlines Fully conversant with Microsoft Office with particular emphasis on the use of; Excel, Word and Outlook Desirable: Prior knowledge of Building Surveying services and procedures and/or an understanding of Residential Property Management. Previous experience working with a CRM or sales management system Previous experience managing administration for specific projects, tenders or contractual frameworks Ability to work with data and produce analysis Experience of assisting with business development Experience of developing client relationships Previous experience of ISO 9001: 2015 quality system administration and/or a relevant qualification Application Process: All applicants must be eligible to live and work in the UK without restrictions, and documented evidence of eligibility will be required.
