Role: Project Coordinator
This role is integral to the team, requiring multitasking and prioritization skills. Based in our Mallusk office, the Project Coordinator will support HVAC Capital Works projects in Northern Ireland.
Key Responsibilities
1. Coordinate site construction projects to ensure timely and effective execution.
2. Manage scheduling of engineer diaries for optimal coverage.
3. Handle incoming calls and record/manage them efficiently.
4. Support clients via telephone and email.
5. Log and assign response maintenance calls promptly.
6. Process operatives' paperwork and close calls for payment.
7. Respond within agreed timeframes to meet service levels and contract terms.
8. Meet targeted KPIs related to contract requirements.
9. Support cross-training of team members for flexibility.
10. Perform routine administrative tasks.
11. Liaise with stakeholders and clients.
12. Escalate issues early to line managers or clients.
13. Undertake additional duties as required.
14. Ensure compliance with policies and procedures.
15. Assist with applications and certificates from authorities/clients.
16. Work safely and diligently, adhering to health and safety standards.
17. Schedule daily runs for multiple operatives.
18. Organize materials, coordinate with suppliers and sub-contractors.
19. Maintain professionalism and confidentiality.
20. Calculate engineer performance and bonuses.
Person Specification
* At least 1 year of office experience.
* Minimum 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office.
* Proactive with the ability to work independently.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Team player with good relationship-building skills.
* Adaptable and positive attitude.
* Ability to multitask and handle large call volumes.
* Trustworthy and approachable.
* Leadership by example with a 'can-do' attitude.
