Overview
The Ivy Medical Group are looking for a full time or part time Medical Secretary / Administrator to join our team.
The Practice is open from 08:00-18:30 Monday-Friday.
Experience in a secretary/ customer service environment is essential however full training will be provided and funded for the right candiate.
Main duties of the job
To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.
Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service(ERS).

Job responsibilities
Thefollowing are the core responsibilities of the Medical Secretary/Administrator.
* a. Typing letters, reports and associateddocumentation as required
* b. Liaising with external agencies such ashospitals and community services, ensuring referrals are processed efficiently
* c. Managing all enquires in an effectivemanner
* d. Maintaining an accurate referralsdatabase
* e. Actioning all incoming email
* f. Processing letters as requested
* g. Scanning of patient related documentationand attaching scanned documents to patients healthcare records
* h. Inputting data into the patientshealthcare records as necessary
* j. Processing requests for informationi.e., SAR, insurance/solicitors letters and DVLA forms
* k. Clinically coding data on SystmOne
* l. Answering incoming phone calls,transferring calls or dealing with the callers request appropriately.
* o. Maintaining a clean, tidy, effectiveworking area at all times
* p. Supporting all clinical staff with generaladministrative tasks as requested
In addition to the primary responsibilities, the Medical Secretary may be requested to:
* a.Partakein audit as directed by the audit lead
* b.Producemeeting agendas and record the minutes of meetings
There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.
Person Specification
Experience
* Experience of working with the general public. Experience of customer service and excellent communication skills. Experience of administrative duties. Experience of working in a healthcare setting as a medical secretary.
* Experience of working in a GP practice.
* Polite and confident. Good interpersonal and communication skills.
* Flexible and cooperative. Organised and high level of attention to detail. High levels of integrity and loyalty. Motivated. Forward thinker.
* Sensitive and empathetic in distressing situations.
* Ability to work under pressure and multi-task. Quick learner.
Qualifications
* Educated to GCSE level or equivalent.
* GCSE Mathematics and English (C or above).
* NVQ Level 2 in Health and Social Care.

* Flexibility to work outside of core office hours

* Excellent communication skills (written and oral). Strong IT skills, including audio typing. Clear, polite telephone manner.
* Competent in the use of Office and Outlook. Effective time management (planning and organising).
