Job Overview
The role is responsible for overseeing and managing the Executive Director’s meetings both internally and externally, including the coordination of the forward planner, agendas, papers, and taking accurate minutes. The Executive Assistant also monitors and supports junior admin staff within the directorates, deputises for other Executive PAs to cover holiday, sickness, etc., including coverage for the Chief Executive. The position requires exemplary written and communication skills, a degree level education or equivalent experience, and evidence of further education (degree/diploma level or similar). This is a full‑time post working 37.5 hours per week.
Main Responsibilities
* Act as the first point of contact for the Chief Nurse, managing/screening calls, emails, correspondence and visitors.
* Filter and prioritise the Executive’s workload, redirecting as appropriate to other team members.
* Review complex information as it arrives, summarise and bring to the Executive Director’s attention when necessary.
* Deal with issues on behalf of the Chief Nurse, assessing, problem‑solving and negotiating solutions.
* Ensure plans are in place to deliver reports for statutory deadlines and committee cycles for the Executive Director and all their reports.
* Provide high‑level administrative support to the Executive Director, including diary management and resolving conflicting commitments.
* Take high‑quality minutes at senior meetings and produce accurate, succinct records of discussion.
* Support the Executive Director in meetings with the Board of Directors, Executive Board teams, divisional and directorate teams, and external organisations.
Qualifications
* Educated to Degree level or equivalent relevant experience.
* Evidence of further education degree/diploma level or equivalent relevant experience.
* Extensive years of PA experience at director/senior level, including experience in the NHS or a large multi‑sited organisation.
* Experience of full diary management, problem solving, project and conference management, and monitoring a budget.
* Experience producing reports and statistical data for senior management.
* Ability to take high quality minutes at senior meetings and produce accurate, succinct records of discussion.
* Robust decision‑making skills with the ability to act on own initiative and independently.
* Understanding of the NHS structure, including CCGs and CCBs.
* Line management or supervisory experience (desirable).
Skills, Knowledge & Abilities
* Ability to draft complex and sensitive correspondence.
* Excellent communication skills – verbal and non‑verbal (including report writing).
* Excellent prioritisation and diary management skills.
* Ability to assess complex information and elicit key factual information for reporting.
* Strong organisational and decision‑making abilities.
* Understanding of commissioning intentions, key performance indicators and their correlation to business aims and objectives (desirable).
