Job DescriptionPA to ChairmanJob Title: PA to ChairmanReports To: ChairmanHours of Work: 9:00 a.m. – 5:30 p.m., Monday to Friday (5 Days)Purpose of the role:To provide full administrative and secretarial support at senior level to the Chairman to ensure the smooth management of his day‑to‑day professional and personal affairs and most effective use of his time. Handle sensitive and complex issues in a professional and objective manner. Take initiative as appropriate, especially in the Chairman’s absence.Main duties and responsibilities:Manage Chairman's electronic diary/calendar, assessing priority of appointments and reallocating as necessaryProcess Chairman's correspondence ensuring that incoming correspondence is dealt with by Chairman or on his behalfMaintain Chairman's office systems, including data management and filingMaintain records of Chairman's contactsScreen calls, enquiries and requests, and deal with them when appropriateAssist Chairman in researching and following up with action on matters which fall within the Chairman's responsibility — chasing responses, triggering follow‑up actionProduce documents, briefing papers and reports for the ChairmanAudio typingOrganise meetings and ensure that the Chairman is well prepared for those meetings, including preparing agendas, pre‑meeting briefings, and meeting papersMeet and greet visitors at all levels of senioritySupervise all incoming/outgoing mailAny other duties as may reasonably be required by the ChairmanArranging appointments for Chairman's family, both professional and personalManaging Chairman's personal UK bank accounts and overseas currency accountsLiaising with Spanish lawyer and collating/providing information for Spanish tax returnsLiaising with investment fund managers for up‑to‑date information on Chairman's investments and share portfolioManaging household staff and dealing with their immigration affairs, including visas, indefinite leave to remain, and citizenship applicationsRunning personal and professional errands for the Chairman as necessaryOverseeing Customer Service CoordinatorFulfilling HR role: preparation of employment contracts, staff handbook, and associated correspondenceAdministering company pension schemeAdministering and keeping staff holiday recordsAdministering and processing monthly staff payrollMaintaining personnel recordsOrganising Employer's Liability InsuranceAdministering the company's mobile phone accountAdministering Chairman's Private Medical Insurance and processing PMI claims for Chairman and familyManaging Chairman's personal property portfolio, UK and overseasSkills, Knowledge & ExperienceExperienced Personal Assistant at senior management levelExceptional interpersonal and communication skills to enable professional interaction with a wide range of contacts; ability to communicate at all levelsAbility to organise, prioritise and plan own workExcellent attention to detail with ability to maintain a high level of accuracyA flexible, proactive approach to work, including the ability to prioritise and re‑prioritiseAbility to work on own initiativeAbility to deal with sensitive information with discretion and maintain confidentialityExcellent IT skillsTo start your application please click "Fast Apply" now!
