Overview
Main purposes of the job :
Carry out reception and related administrative duties within the practice and perform such other tasks as reasonably requested by the Practice Manager.
Responsibilities
* Perform a high-quality reception and administration service to ensure patient satisfaction and maximum contribution to practice efficiency, effectiveness, and profitability in line with the GDC guidelines and Practice policies.
* Establish and maintain productive working relationships with all members of the dental team and liaise with the Practice Manager on all matters concerning administration, pay and service conditions.
* Answering the phone in a polite and timely manner.
* Booking and changing appointments both in-person and over the phone.
* Ensuring patients are booked in upon arrival and the clinicians are made aware.
* Dealing with incoming enquiries from patients, in person, over the phone or via email.
* Sending communications to patients using their chosen method.
* Taking payments and cashing up.
* Placing and receiving orders from suppliers as appropriate to the job role.
* General administration such as scanning or photocopying.
* Ensure patient records are kept up to date and stored securely.
* Be the first point of call for any complaints, be confident in the procedure and direct to the complaints manager as required.
* Check and action any emails and any enquiries that come in.
* Keep patients informed of any delays.
* Prepare patients records and day sheets for each dentist.
* Carry out routine housekeeping procedures and liaise with dental labs, suppliers and other organisations as required.
* Keep the office, patient's toilet and reception area tidy and welcoming.
* Follow up care – ensure smooth journey and 7 star patient experience.
* Social Media and Content creation.
Requirements
Wage will be Minimum wage for your age.
Receptionist 1 - would be front of house full time Monday - Friday 8.45-5:15pm with a 1 hour lunch break.
Receptionist 2 - would be more telephone/office based. The hours would be discussed in interview but would be afternoon/early evening Tuesday - Friday and Saturday Mornings. Minimum 35 hours with a 1 hour lunch break.
