About the Role

The Faculty Co‑ordinator plays a central role in ensuring the smooth and effective operation of a wide range of non-academic processes across the Faculty. As a key point of contact for both internal and external stakeholders, the post-holder provides high‑quality information and advice on non‑teaching matters, supports student recruitment and enrolment activity, and contributes to the coordination of administrative systems that underpin the delivery of programmes. Working proactively and with a high level of autonomy, the Faculty Co‑ordinator develops and maintains robust administrative and communication processes, ensuring that colleagues, students, and partners receive timely, accurate and consistent support.

In addition to these core responsibilities, the Faculty Co‑ordinator contributes to the wider operational effectiveness of the School and Faculty through duties such as line‑managing junior staff, coordinating tutorial provision across multiple clusters, managing data and management information, and supporting Associate Lecturer appointments and development. The role also includes engagement with professional practice programme requirements, supporting electronic portfolio processes, and responding to nation‑specific needs where relevant. As experience grows, the post‑holder may take on additional developmental activities, including mentoring new team members, contributing to induction and training, and participating in recruitment or project groups.


Key Responsibilities

* To provide information and advice regarding non-academic queries (i.e., those not directly pertaining to teaching and learning) in respect of all non-practice-based programmes within the individual’s agreed remit to internal and external stakeholders.
* To create, manage, and develop efficient administrative and communication systems for specific areas of work within the individual’s agreed remit.
* To line manage junior academic related staff as required.
* To act as an administrative link between internal and external stakeholders supporting student recruitment to ensure that enrolment processes are managed effectively.
* To work as a Cluster Co-ordinator (CC) for one or more identified modules, fulfilling all the specified duties associated with this role. (CCs provide logistical and administrative co-ordination of tutorial provision related to a specific module of study across various large, pre-defined, geographical areas, termed ‘clusters’).
* To regularly seek information from School/s Tuition Delivery Team and Associate Lecturer (AL) Services regarding workload capacity of ALs to undertake tuition related activities outside their core module duties and source input for specified activities, as requested, in accordance with School/Faculty guidance.
* To provide student reservation and registration data via management information systems.
* To contribute to the planning, co-ordination, and implementation of AL appointments, induction, and staff development.
* To share responsibility with colleagues for monitoring queries within VOICE (an OU information and communications management database).
* To manage student Tutor Marked Assessment (TMA) extension requests which comply with the University’s assessment policy.
* To monitor the progress of formal complaints, working with appropriate colleagues to ensure their proper resolution.
* To undertake other non-academic duties within the University as required.
* To collate student and curriculum management data sought by internal and external stakeholders in respect of the professional practice programmes (PPPs) within the individual’s agreed remit.
* To contribute to the effective management of the PPPs within the individual’s agreed remit through the provision of support, advice, and guidance to various internal and external stakeholders.

To support the provision and management of electronic student portfolios, as relevant.


Nation-specific duties

To be specified by the recruitment and selection panel associated with any new appointment to the role following consultation with the existing team in this location. Such duties should reflect nation-specific issues including legislation, policy, practice, linguistic, regulatory, and funding body requirements.

* To act as a mentor for a newly appointed Faculty Co-ordinator.
* To contribute to the induction and training of other University staff.
* To act as a member of a recruitment and selection panel for applicants to a Faculty Co-ordinator or other School of Health, Wellbeing and Social Care post.
* To contribute to projects/task and finish groups associated with the Faculty Co-ordinator role.


About You

* A good understanding of the professional programmes;
* Demonstrable experience of administrative work in an educational context;
* Excellent organisational ability and experience in using management information systems;
* Proven ability to work proactively with minimum supervision, using your own initiative;
* Experience of managing projects including co‑ordinating and planning tasks, influencing others, and ensuring delivery to quality standards, budget and schedule;
* The ability to work as an effective member of multiple teams, with the communication and interpersonal skills needed to encourage co‑operation and co‑ordination of the work of both academic and administrative colleagues and effective liaison with Associate Lecturers;
* Excellent communication skills with the ability to express ideas clearly both orally and in writing, and to analyse and interpret numerical data;
* An understanding of the challenges and opportunities provided by virtual team working;
* Experience of working with confidential information and awareness of data protection issues;
* The ability to travel to Milton Keynes - if applicable to position;
* Ability to carry out the role in a way that is consistent with equality legislation and University policies.
* Experience of line managing staff with a possibility of line management responsibilities in this role;
* Familiarity with the teaching methodology of the Open University.
* An awareness of the diversity of student support needs.

Working Location: It is anticipated that a hybrid working pattern can be adopted for this role, where the successful candidate can work from home and the office. However, as this role is contractually aligned to our Milton Keynes Office, it is expected that some attendance in the office will be required when necessary and in response to business needs. We’d expect this to be only occasionally for team away days or team meetings, but this could be more often if business needs dictate. Full‑time working based from our Milton Keynes site is also supported if this is preferred by the candidate. Expenses associated with travel to our Milton Keynes site are not reimbursable.
