An exciting opportunity has arisen to join our dedicated Pain Management Team as a Receptionist/Administrator, supporting the smooth and efficient running of our clinic. The role is the first point of contact for patients, families and visitors, requiring excellent communication and organisational skills and a range of administrative and reception duties.

* A valid Care Certificate (essential)
Responsibilities
* Greeting and checking in patients for appointments and treatments
* Handling telephone and face-to-face queries with empathy and efficiency
* Booking and managing new and follow-up appointments
* Communicating messages between patients and clinical staff
* Monitoring and maintaining department stock levels
* Supporting general administrative tasks to ensure smooth clinic operations
* Provide cover for the clinic’s Healthcare Assistants (HCAs) when needed, under the direction of senior staff
Additional Responsibilities
* Attend the reception area giving a polite, professional service
* Assist with the planning of Pain clinics and lists ensuring they are fully utilised, meeting waiting list targets
* Arrange admission with patients and send out accurate appointments/admission/procedure information; book transport/interpreters where necessary
* Ability to work on own initiative, make decisions within written guidelines, and adjust clinics/admission/theatre lists as needed
* Offer advice and support to colleagues and demonstrate duties to new staff
* Proficient in computers and Microsoft Word; knowledge of Cerner and data recording/reporting is desirable
* Dealing with results and reports of investigation as necessary
* Ordering stationery/equipment and maintaining stock levels
* Preparation of medical case notes for pain patients as needed
* Data collection and input of activity on EPR system
* Maintain confidentiality at all times and handle verbal/aggressive abuse professionally
* Attend the reception area providing polite, professional service; manage internal/external calls and relay necessary information
* General office duties, photocopying, etc.
* Provide cover for colleagues in the department during sickness/leave or peak times
* Complete incident forms when needed; inform Clinical Service Manager/Band 6 of system faults or risks
* Assist Clinical Service Manager with training and mentoring new staff
* Ensure adherence to Calderdale and Huddersfield NHS Foundation Trust policies and regulations
* Maintain effective working relationships with all staff
Clinical Duties
* Support clinic staff when there are HCA shortages or as required by Band 6/Manager
