MAIN PURPOSE:
The post holder will provide administrative support to the encompass PMO team, senior leadership team and the encompass Programme Manager in the delivery of a range of tasks in an efficient, effective and high quality manner.
The post holder will have a culture of team working, continuous improvement and innovation, and the ability to prioritise tasks.
.MAIN DUTIES / RESPONSIBILITIES
· Responsible for the organisation and provision of administrative duties and tasks to support the Trust's encompass Team. This will include diary management, note taking as appropriate, management of the PMO inbox, preparing papers, reports and briefings as directed by the encompass Programme Support Manager and other senior encompass staff in order to meet service requirements.
· Draft correspondence and reports on behalf of the Programme Support Manager and other senior encompass staff and present the information using appropriate applications/tools.
· Identify, collate and present data when requested by the Programme Support Manager and other senior encompass staff.
· Provide support to internal and external stakeholders, ensuring queries or requests are dealt with in a timely manner.
· Assist the Programme Support Manager with the recording of encompass programme costs and expenditure.
· Ensure all encompass documentation is up to date and readily available as and when requested.
· Assist with the development of the Trust's encompass optimisation and stabilisation strategy.
· Maintain effective working relationships with key stakeholders both internal and external, maintaining appropriate communication networks and presenting a professional image at all times.
· Deal with all queries received to the encompass PMO office and pass on to the appropriate member of encompass staff within a timely manner,
· Support the approval processes for encompass expenditure, including input to business case development, gateway reviews and project evaluations.
· Undertake any other duties appropriate to the post/band that may be assigned from time to time by senior staff.
ESSENTIAL CRITERIA
2 x A Levels AND have worked for at least 18 months in a general administrative, or project support role within an office environment
OR
Have worked for at least 3 years in a general administrative, or project support role within an office environment
Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Organisation which will permit them to carry out the duties of the post.
