About the role

Are you confident with IT and keen to support the care, documentation, and accessibility of a world-class art collection? If so, this could be the role for you.

As the Collections Registrar you’ll play a vital role in the day-to-day operations and administration of the Collections Management Department. This varied role combines practical tasks, problem solving, and a need for consistent attention to detail. It’s a great opportunity for someone with a structured mindset and a passion for collections care.

You’ll join a friendly and collaborative team, working across departments to deliver a range of collection focused projects and procedures. Your main focus will be managing and improving the accuracy of our collections information, supporting cataloguing and audit programmes, and ensuring the smooth running of our Collections Management System (CMS).

While some tasks may be repetitive, your work will directly contribute to how our collection is documented, understood, and made accessible both now and for future generations.

The difference you’ll make

As Collections Registrar, you’ll play a key role in ensuring the accuracy, accessibility, and ongoing improvement of our collection’s information. Your responsibilities will include, but are not limited to:

- Managing tasks related to our Collections Management System (CMS), including updating collections information, administering the CMS Helpdesk, and assisting with CMS/website updates along with generating reports, listings, and documentation.
- Contributing to the successful delivery of our Collections Auditing programme.
- Identifying and resolving collection cataloguing issues across the collection.
- Collaborating with colleagues across departments to facilitate and support the delivery of collections management procedures and deliver key projects.
- Supporting the delivery of discreet cataloguing projects.
- Participating in cross department working groups where collections management systems and procedures support with the delivery of projects.
- Developing and implementing effective collection records management solutions.
- Delivering guidance and training for colleagues using CMS and related procedures.
- Working with others to generate creative approaches to complex cataloguing scenarios and identifying opportunities for improvement.

Who we are looking for

To succeed in this role, you’ll need the following range of knowledge, skills, and experience:

- Educated to degree level (or equivalent) in an arts related subject.
- Previous relevant experience in a similar role and environment, ideally at least 6 months within a museum, gallery, or heritage organisation.
- Proven knowledge and practical experience of applying industry collections management data standards and terminology as well as principles and best practise in heritage collections management.
- Strong administration and organisational skills with the ability to prioritise tasks and meet deadlines.
- Excellent interpersonal and communication skills with the ability to engage effectively with colleagues across departments and at all levels.
- Experience of using a multi relational collections management system.
- Excellent IT skills, including highly competent with Outlook, Word and Excel.
- The ability to take initiative, work independently when required, and handle confidential information with discretion.
- Meticulous attention to detail and a commitment to maintaining high standards of accuracy.
- A collaborative mindset with the ability to contribute positively as part of a team.

It would also be great if you have:.

- An interest and appreciation of fine art.
- Experience of working on Axiell CMS.
- Working knowledge of one or more European language.
