Role Purpose:
The Compliance Coordinator ensures that all organisational compliance requirements are coordinated, maintained, and evidentially documented. This includes Health & Safety, Environmental, Quality, Legal, Client, and ISO management system obligations. The role centralises compliance governance, mitigates legal and audit risks, and provides assurance to senior management, clients, and certification bodies.
Scope of the Role:
* Support the organisations SHEQ framework and ISO management systems.
* Act as the central coordination point for compliance activities across all departments, projects, depots, and operational functions.
Core Responsibilities:
1. Compliance Framework & Governance
* Maintain a company-wide compliance register (legal, ISO, client, internal requirements).
* Coordinate compliance activities across departments.
* Track compliance actions, owners, deadlines, and closure.
* Communicate updates to stakeholders and provide status reports to senior management.
2. Health & Safety Compliance
* Maintain H&S documentation (RAMS, inspections, training, competence records).
* Support incident, near-miss, and nonconformance processes.
* Track corrective actions and verify effectiveness.
* Assist in internal and external H&S audits.
3. Environmental Compliance
* Maintain environmental compliance registers and records.
* Coordinate waste management compliance, including duty of care documentation.
* Maintain contractor permits, licences, and registrations.
* Support environmental objectives and risk reduction initiatives.
4. Quality Compliance
* Support the quality management system documentation and records.
* Coordinate corrective and preventive actions.
* Support continual improvement initiatives.
* Maintain audit and client assurance evidence.
5. ISO Management Systems
* Maintain controlled ISO documentation systems.
* Coordinate internal audit programmes.
* Track nonconformances and corrective actions.
* Support management reviews and ISO audits.
6. Contractor, Supplier & Fleet Compliance
* Coordinate compliance checks for subcontractors, suppliers, and fleet.
* Maintain approval and monitoring records, tracking renewals and expiry dates.
7. Document Control & Record Management
* Maintain document control procedures.
* Ensure only current documents are in use.
* Manage record retention and accessibility.
8. Audits, NCRs & Corrective Actions
* Coordinate internal audits.
* Manage nonconformance reporting and corrective actions.
* Track trends and recurring issues.
9. Reporting & Performance Monitoring
* Assist in producing compliance reports and dashboards.
* Track KPIs and trends.
* Provide senior management with clear compliance insight.
Authority & Escalation:
* Request evidence and raise nonconformances.
* Escalate unresolved compliance risks to senior management.
Person Specification:
Essential:
* Experience in compliance, SHEQ, or ISO coordination.
* Strong organisational and documentation skills.
* Effective communication across all levels.
Desirable:
* ISO 9001/14001/45001 experience.
* Internal auditor training.
* Civils, utilities, or telecoms sector experience.
KPIs:
* Audit readiness maintained at all times.
* Corrective actions closed within agreed timescales.
* Zero major nonconformances due to missing evidence.
