Key Responsibilities:
1. Liaise with NHS patients regarding appointments
2. Inbound and outbound referral management
3. Liaise with clinicians and consultants and to ensure urgent referrals are prioritised and forwarded to the appropriate services
4. Processing new referrals via e-RS and entering them on EmisWeb
5. To be responsible for ensuring that discharges letters are sent according to the organisations procedures
6. To be responsible for sending out appointment letters using DocMail
7. To be responsible for send hospital referral information to patients via Royal Mail
8. To undertake scanning of any clinical documents, or other materials, to EmisWeb materials in a systematic way
9. To provide support for appointment management
10. Providing reception/administration duties for clinics

11. Answering the telephone and handling patient queries
12. Ensure that test and scan results have been received prior to clinics
13. Using EmisWeb to book, cancel and rearrange appointments
14. Access inbound patient referral information via e-RS
15. Administer community clinics throughout Newham when cover is required
16. Ensure all letters/faxes/emails received from General Practitioners and within the service are processed accord to the organisations protocols
17. Populate data collection spreadsheets as necessary
18. Facilitate cover for sickness and annual leave absence where appropriate
19. Attend all mandatory training on an annual basis
20. Attend weekly admin team meetings
21. Attend clinical team meetings, where required
22. Work as an effective team member

Flexibility:

The post holder is required to familiarise themselves with all PFSE policies and
procedures and to comply with these at all times.
Confidentiality and Data Protection:
The post holder must maintain the confidentiality of information about patients,
staff and other health service business and meet the requirements of the Data
Protection Act (1998) at all times.
The post holder must comply with all PFSE information and data protection
policies at all times. The work of a NHS Trust is of a confidential nature and
any information gained by the post holder in their role must not be
communicated to other persons except where required in the recognised
course of duty.
Health and Safety:
Employees must be aware of the responsibilities placed on them under the
Health and Safety at Work Act (1974) and must follow these in full at all times,
including ensuring that they act in line with all agreed procedures at all times
in order to maintain a safe environment for patients, visitors and colleagues.

Use of Technology:
PFSE makes use of computer technology. No Smoking Policy:
PFSE operates a no-smoking policy, in line with Government legislation. This
applies to all staff, visitors and patients. It is a condition of employment for staff that they
do not smoke whilst on duty or while wearing PFSE identification or anywhere on PFSE sites. This includes electronic cigarettes.

to adhere to this policy and all prospective employees should be aware of this.
Professional Registration:
All employees who are required to be a member of a professional body are
required to hold relevant registration and must comply with the standards and
guidelines of their professional practice, education and conduct and must act
