PROPERTY MANAGER ASSISTANT

MAIN DUTIES AND RESPONSIBILITIES
PROPERTY MANAGEMENT
Support Property Managers and Head of Property Management by:
* Answering residents' queries and referring to property manager when applicable
* Invoice processing
* Meeting contractors and residents on site when necessary
* Preparing letters and reports
* Carrying out property inspections as required
* Managing mail (paper & electronic)
* Answering telephones and taking clear messages
* Dealing with enquiries directly when possible
* Supporting administrative tasks to ensure high service delivery
* Using Microsoft Office software proficiently
* Supporting the team in all aspects of service delivery
Additional responsibilities include:
* Monitoring managers' daily tasks and whereabouts; managing emails and mail during absences
* Responding to correspondence/emails from Directors, lessees, and tenants as directed
* Coordinating with contractors, issuing work orders, and checking their ability to carry out works
* Monitoring contractor performance and updating the database
* Issuing and monitoring keys, ensuring safety and security
* Conducting estate inspections and addressing issues raised
* Arranging and attending meetings and inspections
* Issuing draft minutes and actioning them
* Updating contractors list and ensuring contracts and inspections are current
* Communicating with lessees/tenants regarding works and lease terms
* Managing insurance claims and liaising with loss adjusters for major claims
* Entering and updating contracts and schedules of works in the system
* Following procedures for abandoned vehicles and other estate management tasks
GENERAL
* Answering calls and taking appropriate actions
* Processing invoices and assisting with work orders
* Producing reports and managing files
* Handling paperwork on OnBase and other systems
* Performing any other duties as directed
