Our client is on the hunt for a professional Executive Assistant to support the executive leadership team in Twickenham. This is a fantastic opportunity to be at the heart of operations while contributing to the smooth running of the European offices!
About the Role: As an Executive Assistant, you will play a vital role in ensuring the efficiency and effectiveness of our leadership team. Your responsibilities will blend high-level executive support with essential office management and travel coordination across Europe. Key Responsibilities:
1. Provide high-level administrative support to senior executives, managing calendars, coordinating meetings, and overseeing inboxes.
2. Prepare, edit, and organise various documents, including reports and presentations.
3. Coordinate internal and external meetings, from board meetings to leadership offsites, ensuring all logistics are seamlessly handled.
4. Take detailed minutes and follow up on action items, which may involve travel to offices across Europe.
5. Handle confidential information with discretion and professionalism.
6. Liaise with internal departments and external stakeholders on behalf of executives.
7. Support project tracking, reporting, and conduct ad hoc research as required.
Office Management Duties:
8. Oversee daily office operations, fostering a professional and efficient working environment.
9. Manage office supplies, equipment, and vendor relationships.
10. Ensure compliance with health & safety regulations and coordinate facility needs.
11. Assist with onboarding new employees, including desk setup and access provisioning.
12. Organise company events, team meetings, and social activities.
Travel Management (Europe-wide):
13. Book and manage complex, multi-leg travel itineraries for executives and team members across Europe.
14. Coordinate flights, trains, hotels, car rentals, and visa arrangements as needed.
15. Maintain a central travel calendar and ensure alignment with business priorities.
16. Monitor travel budgets, ensuring compliance with company travel policies.
17. Act as the point of contact for travel-related issues, changes, or emergencies.
Skills & Experience:
18. Proven experience as an Executive Assistant, Office Manager, or in a similar role.
19. Strong organisational and multitasking skills with exceptional attention to detail.
20. Excellent written and verbal communication skills.
21. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint).
22. Experience managing travel logistics across multiple countries and time zones.
23. Ability to work independently, handle confidential information, and exercise sound judgement.
24. Experience in a multinational or pan-European business environment is a plus.
