The Band 3 Patient Engagement & Involvement Administrator provides essential support to the Patient Engagement and Involvement Manager, ensuring patients’, families’, carers’ and communities’ voices are heard. The role delivers day‑to‑day administrative tasks, facilitates patient and community involvement and supports engagement initiatives.

Day to Day Tasks

* Provide day‑to‑day administrative support to the Patient Engagement and Involvement Manager.
* Maintain accurate records, databases and paperwork relating to engagement, involvement and co‑production activity.
* Assist with organising engagement sessions, meetings and community activities, including arranging rooms, equipment and materials.
* Support routine communication with patients, families, carers, community groups and external partners.
* Assist in gathering and distributing feedback to contribute to service improvement work.
* Maintain spreadsheets and simple databases to record activity, outputs and impact measures.
* Support the preparation of basic reports and summaries for internal and external audiences.


Support to PALS

* Provide administrative support to the PALS team during periods of high demand, including logging cases, updating records and helping with routine enquiries.
* Ensure information is recorded accurately and passed to the appropriate team member in a timely manner.


Support to Volunteering

* Assist the Volunteering Service with administrative tasks such as processing volunteer paperwork, updating records, supporting recruitment stages and coordinating training dates when required.
* Offer practical support during busy periods to ensure the volunteering function remains responsive.


Support to Chaplaincy

* Provide light administrative support to the Chaplaincy team as needed, particularly with booking requests, maintaining visit logs and assisting with communication tasks.
* Help ensure information flows appropriately between Chaplaincy, Patient Experience and relevant wards or departments.


Flexible Cross‑Team Support

* Work across Patient Experience, Volunteering and Chaplaincy to help manage peaks in workload, ensuring essential functions continue to operate safely and efficiently.
* Prioritise tasks appropriately and elevate where support is needed.


Professional and Governance Responsibilities

* Carry out all duties within Trust policy, procedure and supervision arrangements.
* Seek guidance when asked to work outside existing experience or competence.
* Contribute positively to team culture, supporting colleagues and promoting the Trust’s values.
