About the Role FT Recruitment Group are recruiting on behalf of our client for an Executive Assistant based in Glasgow on a full time, permanent basis. This role is within a Personal & Family Team but our client is open to candidates with Litigation experience as well. Working with a prestigious law firm, this role will be working with one of their busy teams providing Executive Assistant and Administrative support, assisting with delivery of an efficient and quality service to their clients. The ideal candidate will possess exceptional clerical and administrative skills, with a strong ability to manage multiple tasks efficiently. This role is pivotal in ensuring smooth operations within the office, providing vital support through great attention to detail, communication management, and organisational skills. ? Main duties include: ? Diary and appointment management, making appropriate arrangements Initial responsibility for taking new client enquiries, ensuring relevant background details obtained, and pass on accordingly Proactive email management, ensuring correct filing and highlighting important actions Prioritise and manage multiple projects and follow through on issues in a timely manner Responsible for inputting and updating data into the required systems Assist with communication with clients and 3rd parties, ensuring all messages are communicated accurately and professionally Organise transfer of time from lawyer's suspense account to relevant matter number Organise expense claim forms and collate necessary receipts. Organising travel and accommodation and proactively source relevant information pertinent to the trip Minute taking during meetings where appropriate Any other reasonable duties as required to support the team and facilitate an effective working environment ? Suitable candidates should have the following: ? Be able to demonstrate experience as a Personal Assistant, Executive Assistant or in a similar role within a busy Personal & Family team or Litigation Team is essential for this role Strong typing ability is essential in this role and will be a key part of this role so the successful candidate must have a strong typing speed Ability to work under pressure and against tight deadlines Excellent communication skills and confident in dealing with people at all levels A strong team player willing to go beyond regular duties and help out where needed Presents a professional image to clients and other external organisations at all times Flexibility to adjust working hours to suit teams needs when required Positive approach to work, with a willingness to adapt to changes as required Strong organisational and time management skills, with a strong work ethic IT literate, proficient with Microsoft applications including Outlook, Word, Excel and PowerPoint, and willingness to enhance IT skills through training if necessary Experience with Aderant. DMS and BigHand (preferred but not essential) ? Candidates should be based locally to Glasgow and must hold the Right to work in the UK
