Role Definition:
The Production Administrator is responsible for providing full ownership of labour planning, manning numbers, and production reporting. This includes collating standard manning levels against daily and weekly plans, forecasting resource gaps, booking additional labour where required, and monitoring training compliance. The role is central to ensuring production plans are achievable and that KPIs around efficiency, labour cost, and training are tracked and reported accurately.

Key responsibilities:
Labour Planning & Deployment:
- Collate and analyse manning requirements versus available workforce for daily and weekly production plans.
- Highlight variances and book additional agency labour where required to meet plan.
- Track labour utilisation and efficiency to support cost-per-kg targets.
Data, Reporting & KPIs:
- Produce daily/weekly labour efficiency reports (planned vs actual headcount, cost per kg, absenteeism).
- Report and distribute key KPIs for the production area (labour variance, efficiency %, downtime impact, etc.).
- Maintain accurate training and compliance records for all production staff.
Operational Support:
- Support shift handovers by providing accurate manning and KPI information.
- Provide real-time updates to managers on gaps in resource, plan risks, and mitigation actions.
- Ensure reporting deadlines are consistently met for senior management review.
Training & Development:
- Manage training schedules, ensuring the right people are released from production to meet training needs.
- Track training completion and competency levels to support succession planning.
Key Performance Indictors (KPIs)
% variance between planned vs actual labour headcount.
Labour cost per kg versus standard.
Training completion % against schedule.
Timeliness and accuracy of daily/weekly KPI reports.
Personal specification:
Strong numeracy and analytical skills with advanced Excel competence.
Able to manage multiple data sources and produce clear, concise reports.
Organised, proactive, and able to prioritise under pressure.
Strong communication skills to liaise with production, HR/training, and agency providers.
