Overview
Operations Administrator (6-month short-term employment).
Working under direct supervision the Operations Administrator embodies the “aloha” spirit, showcasing warmth and hospitality to all employees and guests. This role supports the efficient operations of the company by addressing general corporate inquiries, ensuring safety procedures are followed, coordinating company mail, and managing the multi-line telephone system. The Operations Administrator performs various administrative functions, including creating and tracking Purchase Requests, making employee badges, creating shipping labels, coordinating pickups, and sorting and routing mail to management team members. Employees in this position may interact with their leader daily, to receive guidance and feedback. Some non-routine activities may require their leader’s advanced approval, but routine decisions within the general scope of the role may be made independently.
Essential duties and responsibilities
* Greeting on-site visitors and employees and assisting with guest/visitor standards.
* Answer, screen, and direct calls to appropriate parties or take messages. Providing information about the organization, including address and directions.
* Set up and operate phone system features for standard messages during night and non-business hours.
* Update and maintain telephone extension lists and office seating assignments.
* Maintain and organize the lobby area, television content, waiting area, coffee bar, and lobby conference room.
* Order and maintain company merchandise such as shirts, desk supplies, and gift bag items.
* Partner and support the People Team (HR) for onsite activities and events.
* Act as the contact person for support vendors like Screen Cloud, Uniform Vendor, and Five Star.
* Monitor Screen Cloud (TV Displays) performance and report issues to the IT team.
* Utilize and maintain tools for record-keeping (e.g., employee business card requests, iPad guest check-in).
* Assist with processing employee badge requests.
* Coordinate all outbound packages and letters, generates Fed Ex labels.
* Manage the uniform process (ordering, issuing, collecting when an employee leaves).
* Responsible for purchasing office supplies.
* Complete expense reports and schedule meetings.
* Create Purchase Requests as needed.
* Promote safety in the work area by staying updated on and complying with safety procedures and reporting all accidents immediately.
* Maintain employee and guest check-in lists and ensure they are taken during an evacuation.
* Assist the APM with various administrative projects and support other departments as approved by the APM.
* Assist and/or Coordinate Donation Requests through the Executive Assistant of the CEO.
* Maintain confidentiality in all Human Resources-related matters.
* Train backup as needed.
* Perform other duties as required or assigned which are reasonably within the scope of this role.
Qualifications
* Associate or bachelor’s degree from an accredited college or equivalent relevant experience required.
* At least 1 year of progressively responsible experience in an office environment or hospitality is preferred.
* Bi-lingual is preferred.
Physical requirements
* Ability to lift 20 lbs.
* Ability to stand 1 hour at a time.
Additional qualifications
* Proficient computer skills (Excel, Word, Outlook, Internet, Adobe Photoshop, Copilot AI).
* Proficient ability to communicate and collaborate with all levels of management.
* Working understanding of general manufacturing operations.
* Working knowledge of Safety Regulations (OSHA, and Food Safety).
* Ability to travel up to 5% of the time.
