Role Overview
Vario is a market leading alternative legal services provider within the law firm, Pinsent Masons. It is unique in the legal sector. Vario is a practice group within Pinsent Masons which incorporates; Flexible Services, Consulting and Technology, Legal Project Management and Managed Legal Services (MLS). This role sits within our Flexible Services team.
We have an exciting opportunity for an Operations Assistant to join our Flexible Services team in Birmingham on a 6-month fixed term contract. The role will work closely with the Senior Operations Executive and will provide administrative support to both the Operations Management team and the Account Management team by leading on all compliance and administrative tasks associated with the seamless delivery of flexible legal resource for our clients.
The Operations Assistant will be responsible for:
1. Ensuring that all queries received in the Operations email inbox are triaged and escalated appropriately
2. Uploading documents to Mercury (applicant tracking/CRM system)
3. Monitoring timesheet submissions and chasing outstanding timesheets
4. Processing invoices submitted by consultants
5. Setting up new suppliers and verifying bank details
6. Validating and processing referral fees
7. Assisting with finance audits and queries
8. Carrying out conflict checks
9. Identifying improvements/efficiencies in the administration process and driving change
10. Covering the Senior Operations Executive and other Operations Executives during periods of absence
11. Ad hoc project tasks in line with business need
Our standard working hours are 9.30am-5.30pm, however, we are happy to consider flexible working requests.
Please note, this role is a 6-month FTC.
