Location: Hybrid – The successful candidate is required to be based from our Livingston, Scotland office two days per week.
Reports to: Head of IT Program Management & Business Partnerships
Main Function: IT
Responsibilities
* Creating project definition documents, detailed planning through implementation, applying project management methodology to manage scope, budget, and timing
* Project coordination and providing direction for the entire project team
* Influence leadership and management levels and teams throughout the organisation and consult for other project managers and department heads
* Work with end users to gather requirements needed to generate specifications to develop applications and components
* Lead large, complex, and interdependent projects across multiple departments and systems
* Develop and manage comprehensive project plans, timelines, budgets, and resource allocations
* Lead by example in applying PMO standards, project frameworks, and governance protocols
* Champion continuous improvement in project delivery, tools and templates
* Interface with and direct vendors to facilitate successful project implementation
* Identify potential project barriers and critical path adjustments
* Lead system-wide/cross-functional team management
* Identify project dependencies, mapping and lead resolution
* Solve complex problems for several projects concurrently
* Create and deliver data-driven progress reports as needed
* Consult with colleagues on current and future potential projects
* Investigate, develop and implement skills/tools to improve project management methodologies
Strategy & Planning / Value Delivery
* Scope out projects with business and IT stakeholders, including deliverables, cost estimates, resources and benefits
* Create and maintain documentation to initiate and run projects – scope, project definition documents, plans, business case, budgets and RAID logs
* Lead teams to ensure projects meet quality, schedule and budget objectives
* Negotiate resource requirements to ensure appropriate staffing
* Motivate and inspire project teams with high levels of engagement
* Collaborate with third party vendors and manage vendor relationships
* Plan and oversee end-user documentation, training and change management; organise operational handovers to Support teams
* Conduct risk management assessments and plans
* Measure project performance using appropriate tools and techniques
* Map benefits to enable tracking post execution; measure and report on benefits and outcomes
* Conduct post-implementation debriefs to identify recommendations for continuous improvement
Qualifications
* Proven experience in project management, successful system implementation and change delivery, preferably in a Retail Store, distribution centre and e-commerce environment
* APM Project management practitioner, Prince II certification or equivalent
* Knowledge of Retail store and E-commerce business systems, related hardware, and technologies
* Experience with system implementation (COTS platforms) and system integration projects, ideally within the Footwear, Retail or FMCG industry
* Knowledge of project management frameworks and methodologies (Waterfall and Agile)
* Experience developing or improving project management processes and transferring knowledge into business functions or IT departments
* Ability to resolve unique or complex business problems
* Detail-oriented with ability to understand broader business context and strategic importance
* Strong prioritisation and timely resolution of issues
* Strong facilitation, influence and change-driving skills
* Ability to motivate teams and lead diverse IT professionals, vendors and business partners
* Self-motivated, independent and collaborative
* Excellent written, verbal and visual communication, interpersonal and presentation skills; experience reporting project status to senior/executive management
* Advanced MS Office skills; Jira, Confluence, MS Projects, Lucid and Smartsheets preferred
