Community Team Administrator
Position: 30 hours per week, Monday – Friday
Location: Melksham Community Hospital
Hours: Core hours are 08:30 – 16:30
Our Melksham Community Team is a dynamic group of Nurses and Therapists providing essential care to people in their own homes. We work seven days a week, 7 AM – 10 PM, committed to making a difference in the community.
As our Community Team Administrator, you’ll play a vital role in supporting our team by providing high-quality administrative support to our Team Leader, Nurses, and Therapists, ensuring smooth operations and excellent patient care.
What You’ll Do:
* Offer vital administrative support to the team
* Assist with scheduling and coordination of clinical visits
* Support our busy community team
* Collaborate with healthcare professionals to support patient care

Main Responsibilities:
* Receive and process referrals via patient care system and email
* Input data into the patient administrative system
* Maintain filing systems for electronic and paper files, team notice board, patient records, and archives
* Manage team’s monthly claim forms and update staff records
* Maintain and update lone working database and communicate updates to senior staff
* Set up systems to collate team and staff activity reports
* Check CRB checks and complete related paperwork
* Review invoices and prepare for approval
* Manage annual leave requests and update the team’s leave chart

The Ideal Candidate:
* IM&T literate
* RSA II or equivalent in typing/word processing
* Experience with databases, Word, Excel, and spreadsheets
* Previous experience in healthcare or social care environment
* Knowledge of data protection and confidentiality
* Typing speed of 40 wpm
* Interpersonal skills, flexibility, and efficiency
* Courteous telephone manner and ability to work under pressure
* Good communication and teamwork skills
* Ability to work independently and in other areas as needed
* Self-motivated with good time management
