Job Description

Please note that this is a temporary internship role starting from June 2025 and ending in October 2025. Applicants will need to be able to commute to our office in Hayes 4 days a week.


The role includes general administration for company events including regional roadshows, seminar and large scale trade exhibitions from start through to completion


This person will be reporting to Marketing Events & Communications Executive and work alongside the Marketing Executive and rest of Design & Digital team to communicate with event organizers, Hikvision attendees, finance department, and the Marketing team to implement events.


Key Responsibilities:

* Coordinating and sharing pre-event marketing materials
* Liaising with finance department to ensure supplier invoices are paid
* Helping share communications between the marketing department, other Hikvision staff and key external suppliers using email forms and Microsoft Outlook invitations.
* Managing staff hotel requests via a spreadsheet and booking group hotel rooms
* Liaising with Event Organizations: requesting staff passes, scanners, catering, meeting/store rooms. As well as supplying documents like insurance and certificates.
* Checking staff are prepared with dates/times/places, presentations, giveaways etc
* Check suppliers have dates/times/places, applied for passes and access to deliver etc
* Research potential new event venues for a roadshow using a supplied brief
* Product stock taking: receiving, logging, labelling and arranging courier returns
* Assisting with literature production, liaising with printers for prices and delivery times
* Uploading documents to a shared Dropbox and filing in folders
* Organizing promotional giveaway bags by collating and packing


Our Ideal Candidate

* Ideally has relevant work experience with Planning, Cost management / report

Experience, Events and Project management


Knowledge and skills

* IT skills including Microsoft packages (Word, Excel, PowerPoint)
* Regular written and verbal communication skills
* Well organised with excellent planning skills
* Ability to work to tight deadlines and under pressure
