As a Purchasing & Stores Manager you will ensure to receive and control all stock. Ensure all goods are stored correctly and secured within St Ermin's procedures. Promotes the desired work culture around our Fun, Love, Energy culture.
What will you be doing?
* Raise purchase orders and place orders for all consumables required to run the hotel such as cleaning supplies, guest amenities, stationary etc as well as all beverage products.
* To track all Purchase Orders and to monitor level of ordering within each department budget.
* To obtain competitive bids and to perform market surveys for all major suppliers.
* To ensure that all goods received are in accordance with the Purchase Request specification and are supported by authorised documentation.
* To maintain a log of all deliveries and to forward paperwork to Accounts Payable on a daily basis.
* To obtain necessary signatures for goods and to ensure prompt removal from the loading bay.
* To assist Executive / department heads with purchase requirements and to co-ordinate functions and activities.
* To interact with departments, obtaining a minimum of three competitive quotes for purchases where necessary and to participate in service and supply contracts.
* To liaise with suppliers on a daily basis.
* To identify and to develop reliable sources of supply, establishing nominated suppliers to regular standing orders to reduce paperwork.
* To monitor vendor reliability.
* To determine needed stocks and re-order levels for stores with the help of the Department Heads.
* To review inventories on a monthly basis and to establish procedures for non essential and discontinued items.
* To control stock – logging requests.
* To analyse consumption levels.
* In conjunction with the F&B Director carry out beverage stock takes on the last working day of the month and to supply closing stock figures to Financial Controller.
* To input all beverage and consumable receipts into the stock control system.
* To chase suppliers for any credit notes required in a timely fashion
* To maintain the stock control system and ensure all information is relevant and audited on a regular basis
* To prepare all month end paperwork by the 4th working day of the month end process and pass it to the Director of Finance
* To perform related duties and special projects as assigned
* Ensure you are aware of your Health & Safety responsibilities as required by the hotel’s Health and Safety policy, and monitor compliance with procedural requirements.
* To be fully conversant with and abide by all rules concerning Fire, Health & Safety and attend all relevant, statutory trainings
* To track all Purchase Orders and to monitor level of ordering within each department budget.
