Join Our Team as a Receptionist / Administrator!
Exciting news! We have a fantastic opportunity for a Receptionist / Administrator in Lockerbie. This is a full-time position, working 5 days a week from 8:30 AM to 5 PM. If you're organized, self-motivated, and have a knack for communication, we want to hear from you!
Your Responsibilities
As a key member of our team, you will:
* Answer, screen, and direct calls to the appropriate individuals.
* Respond to emergency telephone calls.
* Greet and direct visitors to our offices.
* Log incoming mail onto a spreadsheet and SharePoint.
* Write and distribute emails, memos, letters, and forms.
* Take detailed messages and relay them promptly.
* Book and maintain the conference room electronic diary, coordinating meetings and catering.
* Provide general administrative and clerical support as needed.
* Process outgoing mail and daily allocation sheets.
* Log archived data to the Data Room or container.
* Maintain a lone worker log.
* Operate remote electronic access gates via phone/intercom system.
Act as Duty Officer
During normal working hours, you will:
* Log details of incidents and take appropriate action.
* Liaise with the Duty Engineer, Police, Transport for Scotland, and other agencies.
* Document comments and complaints received.
Document Controller Duties
In this role, you will also:
* Compile data for end-of-month reports.
* Log method statements and risk assessments onto spreadsheets and update SharePoint.
* Manage and maintain the Data Room.
Your Profile
We’re looking for someone who:
* Has experience in a front-of-house receptionist role.
* Is proficient in Microsoft Word, Outlook, and Excel.
* Possesses strong communication skills.
* Is extremely organized and has excellent time management skills.
* Can prioritize tasks effectively.
Working Conditions
Hours: 37.5 hours per week (Monday to Friday, 8:30 AM – 5 PM with a one-hour lunch break)
Salary: £25,500 - £26,500
