Overview

Greenshaw High School is an 11 to 18 mixed comprehensive secondary school in Sutton, South West London. The school has a strong local reputation and a large applicant pool. The school was recognised by Ofsted in October 2024 as offering an exceptional standard of education with Outstanding grades in Quality of Education, Behaviour & Attitudes, Sixth Form and Leadership & Management. Greenshaw Learning Trust (GLT) is a multi-academy trust with schools across London, Surrey, Berkshire, Gloucestershire, South Gloucestershire, Bristol and Plymouth. GLT supports collaboration and shared practice across its family of schools.

We are looking for an Admin Support Assistant to join the School Office team. The role is to provide a professional and efficient administrative service at all times as part of the School Office.


Responsibilities

* Administration: assist with a range of administrative tasks using Microsoft Office (Word, Excel, Publish, etc.); maintain and update student information on BROMCOM; assist with answering the school phone and gate access system; provide an efficient administrative service to the school.
* Trips: monitor trips administration through EVOLVE, ensure forms are completed by trip organisers, chase for documentation, produce trip lists and medical lists, add trips to Bromcom and assign students, update payment progress, inform the Director of Operations, obtain authorisation for hazardous trips, and arrange transport/venues for enrichment days.
* Free School Meals and Pupil Premium: keep information up to date so students receive FSMS; upload government data into Bromcom; issue FS vouchers during holidays; order SWI vouchers and maintain uniform stock; process orders and monitor queries in PP and FSM inboxes.
* Parents’ Evenings: organise year-group evenings, set up relevant systems, liaise with teaching staff and SEN for Learning Plan Review meetings, and communicate information to parents/carers; coordinate catering needs with Kitchen staff.
* My Child at School (MCAS): manage the parent/staff finance payment system on Bromcom, respond to queries, add payment items, run weekly reports, and send reminders for outstanding balances.
* General: provide administrative support, answer the phone, greet visitors, cover reception areas as needed, provide first aid in absence of the Principal First Aider, keep up to date with role requirements and legislation, comply with safeguarding, equal opportunities, health and safety, confidentiality and data protection policies, and undertake other duties as required by the Headteacher.


Essential qualifications and skills

* Educated to at least GCSE grade C/4 in English and Mathematics (or equivalent)
* Willingness to undertake induction and ongoing training
* Experience in a busy office environment; proficient in word processing, Excel, e-mail and other office applications
* Excellent customer care at first point of contact; strong verbal and written communication with colleagues, students, parents and visitors
* Efficient, accurate with excellent attention to detail; strong organisational skills
* Ability to work under pressure, multi-task and meet deadlines; work well in a team; flexible to support others
* Good IT and data inputting skills (Word, Excel); numeracy and literacy at a high standard
* Commitment to safeguarding of children and ability to handle confidential information
* Desire to develop skills and knowledge through CPD; commitment to safeguarding and high standards of child protection
* Awareness of health and safety and personal responsibility for it; commitment to the school ethos and community
