Job Overview
We are looking for a Regional Finance & Operations Administrative Support role based in DPD Southall (3 Collett Way, Southall, London, UB2 4SE). The position is permanent, 37.5 hours per week, Monday to Friday, 08:00 – 16:30.
Key Responsibilities
* Support the regional finance and operations teams by providing an administrative service in depot operations.
* Maintain day‑to‑day cost reporting for depots, ensuring timely and accurate submissions.
* Manage weekly payroll processing for depots within your remit.
* Record purchase orders, process and code invoices for external resources.
* Update absence management records and provide cross training within the finance administration network.
* Administer stocks of uniforms and operational stationery, raising authorised orders and applying cross charges where applicable.
* Add new starters, agency and cover drivers to training platforms.
* Administer the self‑employed process daily, including additional payment processing, stop‑merge, vehicle mileage updates and financial reconciliation to depot reports.
* Verify driver licences, own‑van driver documentation and forklift‑truck certificates; organise refresher training.
* Administer fuel stocks and orders.
* Carry out local operational quality audits and maintain operational controls.
* Comment on the SOP for vehicles not being used.
* Upload compliance and HGV documentation to data studio.
* Confirm driver reported defects have been actioned via the defect book and app.
* Support completion of employee new‑starter onboarding and administrative tasks related to absence management.
* Draft letters for D&G and AMP processes.
* Collate information for HR admin on employee matters (e.g., maternity, paternity, change of hours, change of work pattern, leavers).
* Perform ad hoc duties as required.
Qualifications & Experience
* Strong IT literacy (Microsoft Office and G‑Suite programmes).
* Proven experience in a fast‑paced administrative role, ideally within the transport industry.
* Strong analytical skills with an awareness of quality assurance and auditing.
* Effective communication skills and a confident telephone manner.
* High level of accuracy, self‑motivation and organisation.
* Ability to self‑manage workload and prioritise tasks according to deadlines, importance and urgency.
* Perform other duties as reasonably requested by management.
