Job Description:
Duties:
1. Assist with the delivery of NWCL's communications plan by updating social media, uploading content to the website, and disseminating regular updates to different audiences.
2. Assist with the setup and coordination of meetings and events, including diary management, venue arrangements, travel, accommodation, minute-taking, and other logistics.
3. Handle HR administration tasks such as sending recruitment packs, liaising with potential staff and volunteers, maintaining personnel files, and monitoring key dates.
4. Maintain NWCL's facilities for staff and volunteers by keeping accurate records of assets, obtaining quotes, arranging repairs, and liaising with suppliers. Purchase stationary and resources within set budgets.
5. Process invoices and expense claims accurately and promptly, and maintain financial records to support monitoring and reporting of income and expenditure.
6. Develop and maintain processes to gather key data, providing accurate information for media content, funding applications, and reports for senior staff, the board, and funders.
7. Assist with updating and implementing organisational policies and procedures that comply with funders, regulators, and the Charity Commission.
8. Contribute to continuous improvement by reviewing and developing administrative processes to increase effectiveness and efficiency.
9. Participate actively in internal meetings and share learning with the team.
10. Support personal and team wellbeing and promote a positive working environment.
11. Perform any other duties as required.
Person Specification:
* Previous administrative experience in a fast-paced environment.
* Strong attention to detail and commitment to accuracy.
* Excellent verbal and written communication skills.
* Proficiency in IT systems, including SharePoint, Teams, and Office365.
* Basic understanding of financial processes and systems.
* Highly organized with the ability to prioritize tasks and meet deadlines.
* High integrity, capable of handling sensitive and confidential information tactfully and discreetly.
* Proactive problem solver committed to providing high-quality administrative support.
* Experience working in the charity sector.
* Proficiency in social media platforms such as Facebook, X/BlueSky, LinkedIn, and Instagram.
* Experience with client management systems (Advice Pro), accounting software (Xero), and design software (Canva).
