HR Transactional Services Advisor
This is an exciting time to join the Workforce Information & Systems Team, as we bring together our HR Transactions, Payroll Control and Workforce Information teams into one integrated service. Our goal is to build a joined-up, collaborative function that delivers high-quality, reliable and responsive support across the Trust.
This fixed-term role will provide maternity cover within the HR Transactions service, a team central for delivering a first point of contact service for all non-medical general People & OD administrative queries including, terms and conditions of employment, employment confirmation letters and reference requests.
It's a key role at a time when we're also starting the shape the future of how our function operates, with a real focus on improving systems, standardising processes and developing career pathways.
We're looking for someone with experience in HR administration and transactions, who is confident working with ESR, understands the importance of getting the detail right, and thrives in a supportive, fast-paced environment.
Main duties of the job
Reporting to the Workforce Information & Systems Operations Manager, the post holder will beresponsible for delivering a first point of contact service for all non-medical general People & OD administrative queries including, terms and conditions of employment, employment confirmation letters and reference requests.
Thepost-holderwillworkinpartnershipwithHRcolleagues,todeliver a first-class HR Transactional Service provision across the Trust. This includes providing first-line (non-complex) advice and signposting to Trust policies and procedures.
In addition, you will also monitor the compliance and renewals for professional registrations, DBS re-checks, right to work (visa extensions), fit and proper persons renewal tests and administer some parts of smartcards (Registration Authority). As well as processing all parenting applications (Maternity, Paternity, Adoption & Surrogacy and Shared Parental Leave).

The post will be based at Blue Star House in Brixton.
It should be noted that this role is currently hybrid working with 2 days on site and 3 days working from home.

Detailed job description and main responsibilities
To ensure provision of accurate and efficient HR administrative support for all staff enquires, including providing advice on AFC terms and conditions, annual leave calculations, maternities / paternities / adoption, sickness absence, bereavement leave etc.
To proactively manage the HR administration inbox and ensure a high quality and timely service in accordance with the agreed standards of practice, key performance indicators and portfolio of services. To include: provision of factual references, employment confirmation letters, mortgage letter etc.
To review and update professional registrations on ESR by checking relevantprofessional registers on a monthly basis ensuring compliance in line with Trust obligations. This includes, writing to individuals and their managers prior to expiry and escalate any concerns to managers and the HR Transactional Services Team Leader.
To review and carry out DBS rechecks for current staff as directed by the HRTransactional Services Team Leader, to ensure compliance with Trust policy and ourlegal obligations. This includes updating ESR with new information where this has been received.
To review visa reports as directed by the HR Transactional Services Team Leader on a monthly basis, ensuring that all staff who require a visa are contacted in advance of their renewal date. This includes, updating ESR and writing to individuals and their managers prior to expiry and escalating any concerns.
To review the fixed term contract end date report as directed by HR Transactional Services Team Leader on a monthly basis, ensuring that all staff records are updated on ESR in line with relevant extension confirmed by the manager. This includes contacting the managers and issuing amendment to contract letters confirming the new end date and/or permanent placement.
To process any work in relation to TUPE transfers, liaising closely with HR colleagues to understand requirements, which includes due diligence reports and preparation of HR files.
To provide comprehensive advice on maternity / paternity / adoption and have virtual maternity / paternity meetings with employees, which includes issuing of standard letters confirming their entitlements.
To maintain electronic filing systems ensuring security and confidentiality of information, recordkeeping, and archiving information and tobe responsible for updating these where required.
To help with the review of HR pages on the intranet and contribute to the on-going development and maintenance of high quality intranet and extranet information.
To support with cross-cover in the team and resolve issues including escalating in a timely fashion.
To be responsible for Registration Authority administration, including creating care identities for new smartcard users, and ensuring correct access to clinical and financial systems.

Essential criteria
7. HR qualification or proven HR administrative experience
8. Excellent general office administration skills, including experience of reviewing and developing administrative processes and procedures
9. Experience of using HR software applications, such as ESR, ESR Business Intelligence and TRAC.
10. Good employment law and policy knowledge; able to translate for others into practice and procedure
11. Experience managing a diverse workload and achieving deadlines
