We are looking for the right person who can work on their own initiative but also as part of a larger team, communicating effectively at all levels both internally and externally.
Working in a fast paced and demanding traffic office you will be responsible for ensuring that all transport jobs are accurately recorded, confirmed with customers and can be planned with complete information to allow jobs to operate efficiently from assignment to invoicing.
Main Duties & Responsibilities
* Communicate directly with customers to confirm job details including but not limited to: Collection/delivery addresses, loading & unloading times, required equipment etc
* Input job bookings into the transport management system with a high degree of accuracy.
* Perform daily and weekly diary checks to ensure all job information is complete and up to date.
* Proactively chase and clarify any missing or unclear information before job date.
* Update and maintain digital and physical records relating to job bookings, amendments and cancellations.
* Communicate all cancellation and other ancillaries to customers on time and in line with customer requirements.
* Assist with onboarding of new customers
* Handle customer queries efficiently and professionally, providing updates where needed.
* Support the team with general administrative tasks, filing, scanning and any other office duties.
* Flag and escalate any discrepancies, delays or concerns to the transport planning teams promptly.
* Report any accidents or incidents as soon as possible in line with company reporting procedures
* Adhere to all company policies and procedures
Requirements & Skills
* Ability to work in a fast-paced environment.
* Strong communication skills with a confident, customer- facing approach
* Excellent attention to detail and accuracy when inputting data
* Proficiency wit Microsoft Office (especially Outlook & Excel).
* Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
* Reliable, flexible and committed to delivering excellent service.
* Experience working with transport is desirable however full training will be provided
* Minimum 1 years Admin experience required
