Payroll Coordinator required to cover maternity, to start December 2025.
The mission of the Payroll Co-ordinator is to ensure seamless and efficient payroll processing through collaboration with our third-party payroll provider.
Managing the sickness absence process with empathy and precision, ensuring that all employees receive the support they need during their time away from work. Additionally, to enhance our employer branding and promote well-being activities that foster a positive and healthy work environment.

Combining outsourced monthly payroll with the coordination of HR related activities.
Key Responsibilities
* Creation of HR Bulletins for Wellbeing, National Awareness Days, DE&I & Learning initiatives, including spotlight interviews with employees and employer branding activities promoted across social media.
* Organising and assisting with on-site wellbeing and DE&I events.
* Understanding key business drivers and tracking HR KPI’s, including monthly group reporting and management meeting statistics.
* Maintaining Employee and Manager SharePoint sites and other HR systems.
* Delivering excellent communication to all internal and external customers.
* Collate and distribute monthly information from all companies to the payroll provider.
* Produce variable pay input not covered within the payroll input (e.g., expatriates variable pay, commission guarantee, expatriate tax, directors’ remuneration).
* Process Share Options for applicable employees.
* Process expatriate employee’s salary and any additional payments in line with applicable currency exchange rates.
* Assist the Business with Employer Insurance reporting figures.
* Input any payroll amendments following the payroll export.
* Resolve payroll queries, confirm payroll production, produce payroll reports for sign-off by Business Controllers, and distribute payslips and journals where applicable.
* Draft reports need to be checked and then distributed and approved by the Business Controllers and other approvers.
* Coordinate the payment of service bonuses, annual VC payments and salary increases in line with company policy.
* Co-ordinate and validate information for P60’s, P14 and P35’s for UK And Irish Payroll.
* Co-ordinate and validate P11D information.
* With the HR Manager liaise with company auditors to ensure all reports/questions are produced and answered in line with audit timetable.
* Produce employee financial and employment references, IR references, solicitor’s letters, etc.
Sickness Activities
* On receipt of sick note or medical certificate, update HBHR.
* Check for correct sickness scheme to identify payment length and update payroll accordingly.
* Monitor sickness levels, identify employees with unacceptable levels of sickness absence per policy, and notify HR BP/Mgr for follow up.
* With HRBP ensure the keeping-in-touch process is followed.
* Send letters to employees informing them of the status of their company sick pay and SSP1 Forms four weeks prior to their company sick pay ceasing.
* Arrange for employee consent letters to be sent to medical practitioner and then write to specialist/GP for relevant medical information.
