Job Title: Personal Assistant to Group Finance Director and Director of Shared Services
Location: Crowthorne House, Wokingham

Key Responsibilities:
Director support
* Diary management of directors, including appointments, travel time, effective time management and preparation of meetings and deliverables
* Administrative support to directors and their teams
* Preparation of meeting agendas, circulation of papers and management of actions
* Email management of directors
* Collation of board report information in line with monthly deadlines
* Assisting with project admin and management of tasks
* Assist with preparation of ad hoc reports as and when required
* Assistance with communications, presentations and other documents for the directors as required
Senior Executive Assistant support
* Research and organisation of teambuilding events – summer party, Christmas party etc
* Develop and support the onboarding process for new starters; liaise with recruitment team to understand when a new starter is due and ensure equipment is ordered for start date; on start date provide explanation of fire drill/process, office tour of office, car parking restrictions, ensure explanation of work from home and office attendance. Support with the diarisation of introductions to divisional directors.
* Maintaining Organisational Chart for Finance and Shared Services
* Filing of dormant accounts with Companies House
* Receive and distribute incoming post
Other
* Attending meetings and taking notes
* Managing teambuilding events budget and annual planner
* Support with completing and filing all ONS surveys on behalf of the group
* Maintain a qualification register for those undergoing training
* Support with Know Your Customer banking requests – collating the relevant information.
* Statutory audit admin support, updating regulations, maintain risk register
* Ordering equipment and supplies for Finance and Shared Services, and Head office
What are we looking for:
* Good written and oral communication skills
* Able to plan and prioritise
* Excellent IT skills specifically Excel
* Attention to detail
* Able to communicate at all levels
* Experience of admin support
* Team player with a ‘can do’ attitude
Preferable:
* Knowledge of property market and associated services
* Comprehensive understanding of accounting and FCA regulatory principles
