Case Administrator

Job Objectives And Responsibilities

This role is based within the Offender Management Unit (OMU) at HMP Millsike. The OMU is responsible for all aspects of a prisoner's ‘case’, dealing with issues such as risk management, parole applications and sentence planning.

As a case administrator you will be contributing directly to the primary function of HMP Millsike – the rehabilitation of its prisoners. You will provide administrative support within the OMU, working alongside probation and prison colleagues, and liaise with external agencies such as local courts, police and probation.

The role is primarily administrative, based within the OMU Hub, with occasional contact with prisoners and officers regarding paperwork. You will undertake transactional and administrative activities related to Offender Management, including OASys, arranging RoTL, handling bail and BASS applications, managing MAPPA, recategorisation, sentence calculations, recall paperwork and documentation for transfer and release, organizing resettlement boards and processing parole applications.

Maintaining accurate records and data in accordance with established standards and policies is essential. All functions must align with the Offender Management in Custody Model and relevant policy frameworks.


Person Specification

The ideal candidate possesses intermediate IT skills, including proficiency in Microsoft Excel, Word and Outlook, and experience updating central data systems. Excellent written communication that meets customer expectations is required.

Key skills include strong verbal and written communication, a positive problem‑solving approach, and excellent organisational skills. The candidate should work efficiently at a fast pace, be willing to engage in continuous learning and complete necessary training, adapt to change, and work effectively as part of a team.
