Responsibilities
* Provide comprehensive secretarial and administration support to consultants, clinical nurse specialists and the medical team.
* Handle first line enquiries from patients, relatives and staff, and coordinate waiting lists and clinics for an assigned group of clinicians.
* Support letter typing and other administration tasks requested by the Care Group Support Officer.
* Provide comprehensive medical audio and word‑processing service to the clinical team, including typing clinic letters, taking and typing minutes at meetings, discharge summaries and medico‑legal reports.
* Obtain medical notes to assist the clinical team with appointment management, track referrals to ensure prompt review and appropriate follow‑up arrangements in line with patient pathway.
* Answer telephone promptly and politely, telephoning patients where appropriate using tact, discretion and empathy in all situations.
* Liaise with patients and relatives, providing routine information about appointments or clinic information, employing tact and persuasive skills or handling barriers to understanding.
* Exercise judgement when dealing with enquiries from patients, staff or external stakeholders, analysing information to resolve issues regarding booking appointments, scheduling clinics, arranging meetings and managing diary commitments for the clinical team.
* Ensure accurate processing and storage of clinical records via electronic systems and paper‑based records, including maintaining electronic waiting lists, appointing/unappointing, data entry, transcribing letters and minutes.
* Ensure all letters and discharge summaries are copied to the appropriate professionals and to patients.
* Manage own workload, ensure compliance with standards relevant to the role and department, provide a quality service in accordance with agreed policies and Standard Operating Procedures, and refer to Manager when appropriate.
* Order and maintain office supplies and stationery, and other stock items as appropriate; may include cash handling and authorisation of requisitions within agreed limits.
* Conduct general office duties, including incoming and outgoing mail, e‑mail, fax, photocopying.
* Participate in housekeeping of office environment.
* Have responsibility for adhering to all relevant Trust policies, ensuring that team members do likewise, and proposing practice changes within own area/department.
