Ward Administrator/Receptionist – Sapphire Ward
We're seeking a Ward Administrator/Receptionist to join us in Sapphire Ward. This is an important front‑line role, providing high‑quality administrative and reception support within a busy inpatient ward environment.
Sapphire Ward is a 20‑bedded Acute male ward for 18‑65 year olds. You will be the first point of contact for patients, visitors and staff, playing a key part in ensuring the smooth day‑to‑day running of the ward and supporting the delivery of safe, effective patient care.
Main Duties
- Act as the first point of contact for the ward, welcoming patients, visitors and staff, managing telephone enquiries and monitoring emails to ensure timely responses.
- Provide comprehensive administrative and clerical support to the ward team, including preparing admission documentation, information packs and meeting materials.
- Maintain accurate patient records by updating ward status boards, bed states, admissions, discharges and uploading documentation to the electronic patient record system.
- Coordinate operational tasks such as booking patient transport, ordering ward supplies through e‑procurement systems and reporting estates, IT and equipment faults.
- Support ward governance and safety processes, including maintaining confidentiality, assisting with fire safety checks, taking meeting minutes and providing cover for colleagues when required.
- Attend annual Fire Awareness refresher training and complete all mandatory and statutory training required by the Trust.
- Participate in an annual appraisal and Personal Development Review (PDR) and attend relevant IT and systems training such as RIO, HealthRoster, Procurement systems and Smart Card Manager.
- Undertake any other duties that are appropriate to the role, following discussion with the line manager.
